PRIMARY PURPOSE/GENERAL DESCRIPTION:

This role will work with Human Resources, Business Affairs, and IT personnel to identify new opportunities to enhance functionality or achieve greater process efficiencies through Workday. The Workday Analyst must possess excellent problem-solving skills, strong oral and written communication skills, and have the ability to adapt the message to the level of the audience.  The Workday Analyst must maintain strong relationships with stakeholders so that the business takes ‘directional ownership’ of the best practice solution and understands the enterprise value offered by this end-to-end, integrated solution.

 

DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

  

ESSENTIAL FUNCTIONS:

Reporting directly to Director of Human Resources and in conjunction with the Assistant Vice President of Business Affairs, the Workday Analyst performs the following essential duties and responsibilities:

  • Serve as an expert and act as a key resource of HR and Financial Systems projects including Workday system upgrade processes, deployment of new functionality, partnering with HR and financial functional areas on system related process work, and major system implementation or integration project work.
  • Lead small to medium projects by driving activities such as project planning, business requirements gathering, business process mapping, system architecture, process analysis, developing process documentation for configuration, suggesting and maintaining project documentation standards.
  • Responsible for system configuration and build work. Consult with functional users to identify best practice and strategy in configuration.
  • Drive all aspects of project testing including development of test strategy and test scripts, secure and coordinate testers, compile metrics and documentation of test defects, remediation and test completion.
  • Drive deployment plan and timeline. Ensure all necessary parties are updated of project status and escalate to stakeholder(s) when additional oversight is required.
  • Collaborate with other team members to review training and change management needs with all projects. Facilitate system training and communication as needed.
  • Handle reporting work and ad hoc reporting requests.
  • Perform bulk data loads to Workday using EIBs as needed.
  • Oversee daily administration of Workday to include best practice of system setup; oversee correction work when required with related action, and drive consistent practice.
  • Provide new user training to Workday and administrative processing for particular HR and financial users including (but limited to) new user training, managerial training, Kronos/timekeeping and ongoing.
  • Maintain Workday standard integrations and provide basic integration troubleshooting.
  • Act as a Named Support Contact with Workday and Kronos; handle Workday support communication for HR and financial functional areas and issues.
  • Work with IT to manage integrations utilizing such required data software tools.
  • Provide end-user troubleshooting, issue remediation, and escalation management.
  • Understand business requirements and ensure that Workday functionality is configured and tested to meet those requirements.
  • Provide input to priorities for optimization. Design, configure, test and deploy enhancements in our sandbox and production tenants
  • Provide Subject Matter Expertise on HR Technology, reports and dashboards while identifying opportunities for automation and process improvement.
  • Develop and drive monthly and quarterly reports for HR and Financial Operations; Capture and confirm reporting requirements with varying levels of staff and managers; Work closely with managers to develop and run ad-hoc reporting requests
  • Anticipate and recommend reporting solutions based on knowledge of business processes
  • Lead or participate in data requirements/process design sessions, data conversion, proof-of-concept, data analysis, audit compliance, regression testing, end-user and training
  • Facilitate team processes; write and review Unit Testing and User Acceptance Testing (UAT) plans and scripts when necessary
  • Perform other related duties as required.
  • Serve on the Workday Core committees (Financial and HR).

REQUIRED KNOWLEDGE, SKILLS, ABILITIES:

  • Able to manage numerous complex and time-critical support activities simultaneously.
  • Demonstrated effectiveness and clarity of verbal and written communication with excellent interpersonal communication and phone manners. Must handle all activities and highly confidential information with patience, discretion, tact, and a keen eye for detail while working with people from a wide variety of backgrounds.
  • Advanced knowledge of  Microsoft Office software (such as Word, Excel, and Outlook.
  • Able to handle multiple tasks, meet deadlines, and work both independently and as a collaborative member of the College in support of the College’s strategic vision and the division’s annual goals with a high standard of integrity and ethics.
  • Must have exceptional organizational, time management, and communication skills to complete work with accuracy and attention to detail.

OTHER:


HOURS & CLASSIFICATION AND STATUS:

The regular hours for this full time position are 8:00 a.m. to 5:00 p.m., Monday – Friday. Holiday, weekend, and evening work hours may be required. Travel may be required.

This is a regular, full-time, 12-month, benefits-eligible, non-exempt position.

Requirements

QUALIFICATION STANDARDS:

 

EDUCATION & EXPERIENCE:

  • Bachelor’s degree or equivalent with 3-5 years of relevant experience working in a highly quantitative and analytical role, including the development of metrics and trend analysis
  • Proficient in using Excel, Access, Visio and Powerpoint to efficiently analyze data, identify process gap areas and communicate recommendations
  • Knowledge and understanding of payroll processes / wage & hour regulations
  • Highly organized; attention to detail. Ability to meet deadlines and multi-task.
  • Ability to maintain a constant high level of confidentiality in working with salaries and personal information.
  • Excellent oral and written communication skills. Interact well with a diverse community.
  • Read, write legibly, and follow written and oral instructions in English.
  • Ability to file and maintain accurate records.
  • Excellent customer service attitude; a team player.
  • Demonstrated success working with users to extrapolate information about their processes
  • Ability to clearly communicate systems and/or process solutions to business partners and operational teams as part of Operational Readiness function, including creating & delivering training and updates to process documentation (i.e. UPDs, process flows, etc.)
  • Experience with process improvement and project management methodologies
  • Provide high level of analytical support on ad hoc projects or requests.
  • Work with internal and external partners to manage and resolve defects.
  • Analyze large sets of data and ensure that data integrity is maintained.
