Jazz at Lincoln Center (JALC) is one of the world’s leading performing arts organizations, with a mission to “entertain, enrich and expand a global community for jazz through performance, education and advocacy”. A 501(c)3 now in its 31st year, JALC offers a full concert season with the Jazz at Lincoln Center Orchestra with Wynton Marsalis (JLCO). The JLCO performs, often with guest artists, at its home of Frederick P. Rose Hall, “The House of Swing” on the corner of Central Park at Columbus Circle in New York City, and through tours of the US and world. JALC also offers a wide array of educational programs, from WeBop for kids through the year-long high school music program “Essentially Ellington” (which is now in its second decade). And, JALC supports audience development and jazz advocacy through initiatives ranging from free HD live webcasts, to a vast suite of free online teaching tools, to other community-based programs. JALC is governed by a Board of Directors, including Wynton Marsalis, JALC’s Managing and Artistic Director. The Executive Director reports to Mr. Marsalis, and this person, along with all other staff VPs, reports to the Executive Director.

The Vice President for Human Resources and Office Administration is responsible for directing all aspects of JALC’s human resources policies programs, including support of JLCO musicians, who are staff members of the organization. This person is also responsible for office management and administration of JALC’s employee’s offices and coordinating between that location and JALC’s performance venues in “The House of Swing”.

A key advisor to the Executive Director, this person supports efforts to build a vibrant, entrepreneurial culture committed to “… developing a global community for jazz through performance, education and advocacy”. This person understands the qualities and values of the music and can translate them into programs and policies that ensure JALC operates in a manner consistent with those qualities and values. Core to this is employee engagement and culture building. This person must ensure the culture and diversity of JALC employees reflects JALC’s mission, and the music. This person must constantly seek to reinforce JALC’s values, mission, strategy and operating priorities and improve and expand culture-building programs. JALC is a complex organization pursuing a wide array of programs across many different constituencies. This person must support that and build bridges between employees across locations and departments, including with the three unions that support JALC, and drive for coherence, consistency and transparency in all communications. This person should strive to make JALC the best place in the world to work – and have conviction that they can do it.

The role encompasses the following five areas:

  1. Employee Relations & Development
  2. Recruiting
  3. Compensation Management and Benefits Administration
  4. Records Management
  5. Office Services and Facilities Management

 Responsibilities

1.    Employee and Relations & Development

  • Manifest a culture where employees trust HR and proactively engage HR to solve workplace issues;
  • Administer and expand employee training programs, from “core” programs (e.g., Diversity, Respectful Workplace, Foreign Corrupt Practices Act), to “functional” training (e.g., using Excel, building financial models), to customized outside programs supporting individual employee development objectives;
  • Develop and communicate clear and fair processes for conflict resolution that minimize risks while meeting employee needs and identify, document and resolve sensitive employee issues in a timely and fair manner;
  • Anticipate issues that could disrupt day-to-day operations, and implement legal solutions that are compatible with JALC’s mission and culture;
  • Support labor relations with JALC’s union workforces, and support labor negotiations
  • Maintain JALC’s “Employee Handbook”;
  • Administer annual employee performance reviews; and
  • Serve as the primary staff liaison for the Labor and Compensation Committee of the Board.

2.   Recruiting

  • Quickly and effectively fill open job positions with exceptional candidates who understand and connect with the mission and the music:
    • Ensure that for every position, hiring managers consider a diverse slate and make that a requirement before any hiring is completed;
    • Screen candidates and facilitate interviews; and
    • Secure acceptances and “on-board” new employees.
    • Develop and keep accessible job descriptions in accordance with Department of Labor standards regarding employee classification;
    • Maintain channels for recruiting diverse, talented employees and establish cost effective options for engaging and building relationships with them;
    • Develop and manage exiting processes; and
    • Anticipate and prepare for succession planning.

3.   Compensation Management and Benefits Administration

  • Maintain compensation ranges for non-union employees utilizing market surveys and required, periodic Executive compensation compliance reviews;
  • Support the Leadership Team to review compensation across the organization to ensure equitable pay practices and manage annual salary reporting requirements in accordance with federal and state requirements;
  • Select and implement competitive benefit plans by selecting and managing brokers and negotiate annual plan renewals;
  • Administer all benefit programs, including plan design selection, enrollment management, COBRA administration and implementation of all benefit changes required by law; and
  • Manage voluntary 403B pension program, identifying providers and overseeing enrollment.

 4.   Records Management

  • Set and communicate records retention strategies in accordance with laws and best practices, and utilize technological solutions for data management and reporting (EEO 1 reporting, Affirmative Action Plan maintenance, and the like);
  • Ensure compliance with governmental agencies that provide oversight for various aspects of employment, and satisfy federal and state posting requirements;
  • Support auditing processes in partnership with Finance and Legal teams and relevant Board committees; and
  • Support the ongoing development of “JPeople” (JALC’s SAGE-based HRMS).

5.   Office Services and Facilities Management

  • Maintain the administrative offices in a cost-effective manner;
  • Ensure office services and supplies run smoothly and efficiently;
  • Partner with Technology to ensure business continuity;
  • Oversee the selection and management of vendors and service providers (including security) in accordance with building management;
  • Implement safety standards in cooperation with building and JALC management;
  • Train and prepare for emergencies in the facility, and manage them if they occur;
  • Administer the lease for JALC’s staff offices and manage lease renewal with Legal.

Requirements

 Qualifications and Experience

  • Bachelor’s Degree is required. Master’s Degree is preferred. GPHR/SPHR a plus.
  • Minimum 15 years of experience and expertise in leading all aspects of Human Resources.
  • Motivated by the opportunity to work behalf of jazz and the mission of JALC;

  • Strong functional skills across all areas of Human Resources;
  • Cool-headed, mature and experienced.

  • Demonstrated capacity to influence people in support of JALC's mission and priorities.
