POSITION SUMMARY:    The Talent Management Coordinator is an integral member of the US-based Global HR Team. S/he be responsible for supporting the Global Talent Management Team in all aspects of talent acquisition and administration. S/he will also provide general assistance to the Global HR team as assigned.

RESPONSIBILITIES:

Talent Management:

  • Under the supervision of the Generalist, Global Talent Management, assist with staffing requests, place ads, source candidates, screen resumes, schedule interviews, conduct phone screens, and complete reference and background checks. Ensure all recruitment and hiring documents, records and reports are completed and submitted in a timely matter.
  • Prepare new hire paperwork, including drafting/sending appointment letters, preparing onboarding schedules, and sending out new hire documents via DocuSign. Conduct off-boarding of staff as needed, including scheduling exit interviews and calculating leave balances.
  • Prepare travel authorizations and check requests for candidate travel reimbursements. Liaise with travel agent to arrange candidate travel.
  • Audit and maintain recruitment electronic files and I-9 documents.
  • Assist with creation and maintenance of standard operating procedures (SOPs), documents, forms and org/flow charts.

Consultants:

  • As assigned, assist with drafting, reviewing and routing Consultant forms and agreements.
  • Ensure all e-file records are maintained appropriately.
  • Create/update consultant related SOPs, documents, forms and flow charts.

General: 

  • Code HR invoices and recruitment ad receipts for processing/expense reporting.
  • Provide backup HRIS support to the HR Data Coordinator as needed.
  • Provide administrative support to HR staff as needed.
  • Update HR intranet pages
  • Work on special projects as identified by Director, Human Resources.
  • Other duties as assigned.

Requirements

 

  1. Bachelor’s degree and a minimum of 2-3 years of experience in human resources, or a satisfactory combination of related education and experience.
  2. Superior time management and multi-tasking ability. Excellent administrative and organizational skills; attention to detail, accuracy and follow-through.
  3. Excellent MS Office Suite skills, Experience with Serenic Navigator and Applicant Tracking Systems a plus.
  4. Great interpersonal, written and verbal communications skills to engage with people at all levels.
  5. Collaborative work style and demonstrated strength in customer service.
  6. Discretion and ability to handle confidential matters.
  7. Ability to work independently and as part of a team.
