Position Summary:

Reporting to the Sr. HR Director, the HR Specialist serves as a resource for the Cultural Vistas HR team, management, and staff by proactively providing a broad range of HR services to ensure efficient and seamless administration and coordination of HR-related projects, programs, and activities.

 

Essential Duties and Responsibilities:

- Administration & Compliance -

  • Provides daily customer support to employees by responding to inquiries about Cultural Vistas policies, procedures, benefits, and general questions.
  • Maintains personnel files in compliance with applicable legal requirements
  • Acts as a backup for Payroll processes for Payroll & Benefits Manager
  • Administrative tasks related to keeping an Employee Handbook, internal HR manuals up-to-date, employee directory, and organizational chart
  • Prepares government reports related to EEO requirements
  • Organizes monthly staff gatherings by cross-departmental communication and collaboration
  • Assists in evaluation of reports, decisions, and results of HR department in relation to established goals, as needed. Recommends new approaches, policies and procedures to effect continual improvements in efficiency of department.
  • Supports departmental goals, objectives, and systems.
  • Assists the SR. HR Director with talent acquisition and management for all exempt and non-exempt employees, volunteers, and temporary employees, for example: interview packet preparation, phone screen and onsite interview logistics, reference checks

- Talent Acquisition & Management -

  • Assists with the research, development and writing of job descriptions
  • Maintains job description templates in KeldairHR (Applicant Tracking System)
  • Provides administrative support in the writing and posting of job advertisements.
  • Attend job fairs for the purpose of employees recruitment as requested.
  • Initiates on-boarding process in HRIS UltiPro
  • Organizes New Hire Orientations, and ensures a positive onboarding experience for new hires.

  • Administers the Onboarding Ambassador program between volunteer employees and recent hires.
  • Manages employee engagement and rewards system; compiles reports from database.
  • Provides administrative support to the exit interview and separation processes, for example: closing out terminated employees in all HRIS systems
  • Performs other related duties as required and assigned.

- Performance Management -

  • Support the design and implementation of performance management strategies, processes, and tools.
  • Assist in the development of policies and guidelines to support managers throughout the performance management process.
  • Conduct HR training and support for functional processes like Performance Reviews and New Employee Orientation, Talent Management, Internship Program and Mentoring Initiatives
  • Assist managers with employee corrective action processes
  • Assists the HR Payroll Manager in Time & Attendance record keeping; addresses discrepancies and issues in a timely manner.
  • Develops and maintains industry knowledge by seeking out educational workshops, classes, and related publications.

- Professional Development -

  • Develops and maintains industry knowledge by seeking out educational workshops, classes, and related publications.
  • Participates in administrative staff meetings, retreats, and organization-wide events; attends seminars and industry events.

Computer Equipment and Software Experience Required:

  • Must be proficient in Microsoft Suite products.
  • HRIS database experience preferred; UltiPro experience preferred.

Education and Experience Required:

  • Education: Associate or Bachelors degree in a human resources discipline or business management required.
  • Professional in Human Resources (PHR) certification preferred.
  • Years of Experience: Minimum of 3-4 years of prior Human Resources experience.

Physical Demands of Position:

  • Domestic and international travel may be required. Work on weekends, holidays, and evenings may be required.
