The Mid-Atlantic Permanente Medical Group, PC (MAPMG) located throughout the metropolitan Baltimore and Washington, D.C. areas is currently interviewing for a Recruitment Administrator. The Kaiser Permanente medical care program is the largest and most experienced integrated health-care system in the country. Established over 60 years ago, our programs continue to receive national awards of excellence. MAPMG is a physician-owned and managed multi-specialty group with 1,500 physicians serving over 700,000 patients at 31 medical centers located throughout the Baltimore and Washington, DC metro areas. 

BASIC FUNCTIONS
The Recruitment Administrator provides operational support to the physician and staff recruiting function. Works closely with recruiters and hiring managers, coordinating applications through various systems. Executes sourcing, screening, interview scheduling, processing of background checks, and offer letters.

RESPONSIBILITIES

  • Schedules and coordinates interviews, coordinates candidate travel arrangements, schedules and applies best practices consistently with each process and candidate.
  • Maintains and utilizes talent acquisition tools and resources, including Applicant Tracking System, to apply best practices to enhance candidate experience.
  • Delivers a consistently positive candidate experience including communication with candidates, recruiters and hiring managers.
  • Manages drug screen and background check system.
  • Manages the Physician and Staff Careers website.
  • Assists recruiters in identifying the best recruitment advertising sources (websites, conferences, journals advertising) and places local ads. Manages the sources for job posting and advertising.
  • Demonstrates outstanding planning, organization, prioritization, calendar management, and operates with a sense of urgency. Works collaboratively with recruiting team to manage workload and priorities.
  • Maintains and analyzes data and advises regarding positive and negative trends.
  • Manages and administers the new hire offer process through DocuSign. Provides technical support to the recruiters.
  • Utilizes continuous improvement methodologies to improve area of responsibility.
  • Creates and distributes weekly reports. Provides reports to leadership as required.
  • Point of contact for recruitment department vendor relationships.
  • Manages and plans recruitment events including annual residency events. Registers MAPMG recruitment for annual recruitment conferences and ships required materials for events.
  • Manages the design and development of marketing materials for physician and staff recruitment.
  • Attends conferences when needed to generate and source candidates for projected openings.
  • Acts as a liaison to recruiters and hiring managers. Backs up recruiters and conducts screening or interviewing as needed.
  • Additional duties as required.

Requirements

QUALIFICATIONS

  • Bachelor’s degree in a related field or equivalent experience required.
  • Three years related work experience required. One year in a health care or legal environment or similar office environment preferred.  Previous recruiting, human resources, marketing or advertising a plus.
  • Prior experience with Applicant Tracking Systems and Onboarding systems (Ultipro, Taleo, Silkroad, iCIMS, Workday, Jobvite) required.  
  • A strong working knowledge of Microsoft Office required.
  • Prior experience with DocuSign and pre-employment assessment tools is a plus.  
  • Demonstrated ability to multi-task, organize and interact effectively and comfortably with all levels of management.
  • Ability to consistently provide outstanding service to customers.
  • Ability to solve problems, have good judgment and excellent communication skills both written, and verbal.
  • Must exhibit positive energy and an ability to multitask in a fast-paced environment.
  • Demonstrated ability to change priorities as needed.
  • Detail oriented, flexible and creative.
  • Acts with integrity, tact, poise, and can maintain confidentiality.
  • Ability to work in a diverse and complex work environment.
