POSITION DESCRIPTION

 

Job title:         People & Payroll Specialist

Department:   People

FLSA status:   Non-Exempt

Reports to:     People & Payroll Supervisor

Job Summary:

Inspired by our commitment to excellence, the People team enables users to create unforgettable memories for our guests. The successful People & Payroll Specialist will provide support to the fleet regarding HR & payroll related tasks.

 Payroll Support-

  • Receive, review and process payroll source documents including but not limited to payroll action forms, uniform deduction forms, and garnishment & child support withholding orders
  • Weekly and bi-weekly frequencies- process payroll and review appropriate reports to identify missing or questionable information
  • Process & track miscellaneous pay forms, process monthly gross ups provided by accounting
  • Process stop payments and reissue checks as necessary
  • Contact designated city contact(s) to obtain missing information and/or resolves identified questions
  • Prepare labor reports for distribution to the appropriate city management as well as one-time reports requested from managers
  • Monitor and continually audit Paid Time Off usage and balances (PTO)
  • Receive monthly 401(k) plan eligibility reports from HR Generalist and distribute information accordingly to city administrative managers
  • Support city teams with wage and hour compliance and hold city contacts accountable with proper documentation
  • Identify and initiate necessary procedural improvements
  • Partner with Generalist to assist with ACA compliance including UltiPro maintenance, full time equivalent communication and enrollment, reporting, and ensuring premium payments are fulfilled
  • Maintain electronic benefits portal- review & process benefit information for all employees, whether newly hired or with qualifying life events
  • Prepare weekly payroll process reports and 401(k) vendor (VOYA) wire transfer back up for accounting
  • Respond to all unemployment benefit questionnaires & manage city unemployment hearings
  • Respond to all employment verification requests and direct to InVerify as needed
  • Submit monthly Department of Labor (DOL) reporting for applicable locations

 Human Resources Support-

  • Monitor onboarding process completion for all new and rehires, including but not limited to HRIS setup, payroll setup, and ensuring completion of benefit enrollment
  • Process separation information and supporting documentation
  • Track exit interview responses for easy comparison & analysis for the executive team
  • Consistently manage and update Intranet, OKTA (Jan’s Corner UltiPro Procedural Documents), N Drive and S Drive with applicable information for the fleet
  • Research and track information posted on the web regarding the Company’s reputation. Assist with developing responses and action plans to comments
  • Ensure fleet managers are executing appropriate performance management & progressive discipline techniques
  • Manage background screening reports and provide pre-adverse action follow up when necessary
  • Serve as a marketing agent on behalf of the HR department. Create flyers, posters, emails, and web updates of all things HR specific
  • Promote UltiPro as a useful HRIS for shipmates
  • Be an ambassador for employee morale within company
  • Maintain compliance with federal and state regulations concerning employment
  • Maintain updated training materials for fleet including all things HR & payroll
  • Assist with employee relations support and investigations as needed
  • Respond to all inquiries and questions from city shipmates in a professional and timely manner

 Recruiting Support-

  • Conduct phone screens for Company vacancies and assist with reference checks when needed
  • Review, create and update job descriptions
  • Provide recruiting support to the fleet including administering daily & weekly job postings

 Additional Responsibilities:

  • Other duties as assigned by leadership
  • Participate in developing department goals, objectives, and systems
  • Co-lead Making Waves, Be Moved, D&I and OSS programs

 Accountabilities:

The successful People & Payroll Specialist will personally contribute to the unforgettable guest experience, be favorably viewed by supervisors and peers, and be swift and efficient in the execution of their assigned duties. Performance will be measured by quality, service, management evaluation, and feedback from peers on the city teams.

Requirements

Job Specifications / qualifications:

  • Bachelor’s degree in human resources, business or related field required
  • Minimum one (1) year experience required
  • Human Resources and/or Payroll experience preferred
  • Ability to learn new processes quickly and meet deadlines
  • General knowledge of employment laws and practices
  • Excellent attention to detail
  • Excellent interpersonal and customer service skills
  • Able to communicate clearly & concisely in oral and written form
  • Able to manage multiple priorities/tasks, while maintaining a high degree of organization
  • Able to manage time to maximize productivity
  • Able to maintain confidential information
  • Able to establish and maintain effective working relationships as required by job responsibility
  • Qualified comprehensive background check
  • Intermediate to Advanced computer skills required including Microsoft Excel, Word, Outlook and PowerPoint
