This newly created position is responsible for managing and overseeing the payroll function and activities across a $1B company. This hands-on position is responsible for ensuring the timely and accurate processing of payroll as well as managing certain tasks associated with the company’s 401(k) plan and related tax filings. This position must work together with the HR team on maintaining an integrated payroll/HRIS system and must ensure that effective internal controls are in place and followed at all times within the payroll span of control.  Other responsibilities include communication with internal and external stakeholders such as employees, managers and vendors.  The position is responsible for training, developing and managing the performance of direct reports.  


-          Provide day-to-day and strategic leadership for the Payroll function for the entire organization, ensuring that the company is in compliance with payroll laws and regulations as they vary from state to state and internationally

-          Ensure timely and accurate bi-weekly and ad-hoc payroll processing, including any necessary reconciliations and journal entries.

-          Ensure that all payroll procedures, interfaces and audits are documented, and review and update internal controls and audits as needed.

-          Ensure that data generated through interfaces from auxiliary systems such as HRIS and payroll related systems - are accurate and complete, and have appropriate audits in place to capture errors

-          Monitoring payment of payroll taxes on behalf of the company
Filing and monitoring coverage in states that have standalone tax or disability requirements

-          Researching and responding to payroll tax notices

-          Managing the preparation of annual W-2 and related tax filings, as well as any other regulatory requirements (Health insurance reporting etc.)

-          Manage any payroll/time keeping related projects such as migrations, conversions, consolidations and upgrades and partner with other departments as necessary (IT, HR)

-          Respond to any data requests related to payroll and timekeeping

-          Manage staff of 2-5 individuals

Education, Experience and General Competencies 

-          Bachelor’s Degree in business, accounting or related field required. 

-          10+ years total experience in payroll of which 4+ years in a in a similar role, either as a Payroll Manager or Payroll Director for a company with 1500+ employees

-          6+ years experience with multi state payroll processing

-          10+ years experience with HRIS, Time/Labor and payroll integrations, with multiple data feeds

-          Experience with union pay required

-          Experience working with and managing vendor payroll partners

-          Advanced knowledge with payroll system reporting

-          Advanced Excel skills

-          Strong understanding of accounting and accounting principles

-          System savvy - comfortable learning and exploring new information systems

-          Prior experience working in an organization experiencing a high level of change and managing payroll projects related to change and continuous improvement (i.e. conversions, migrations, M&A. efficiencies)

-          Must be able to multi-task and manage multiple projects - focused on accomplishing all tasks in an accurate and timely manner

-          Collaborative mindset and work style

-          Strong communication skills – both verbal and written, problem-solving and customer service skills
