We are looking for a detail-oriented individual with passion and initiative to maintain and improve payroll related activities in the company UltiPro Payroll Software. This role will perform financial, clerical, and administrative services to ensure accurate and timely payment of employees’ payroll.   This individual will take full ownership of payroll activities.  The Payroll and Expense Admistator will be responsible for understanding key areas of processing and executing payroll, and maintaining and improving related processes. These activities include but are not limited to the calculation and input of bi-weekly payroll processing and adjustments thru the payroll system, reconciliation of various general ledger accounts, and participation in payroll and general accounting improvement activities via a variety of finance transformation projects with functional and cross functional teams.    Three to Five Years of experience with UltiPro Payroll Software required. 

 

TASKS AND RESPONSIBILITIES:

 

  • Provide excellent customer service to employees across all functions of the company as well as partners with internal departments and external parties to fulfill payroll responsibilities.

     

    • Demonstrate a strong customer service orientation including follow up on pending matters, proactive communication, and responsive attitude.

    • Work with managers to problem-solve payroll issues and payroll administration concerns.

    • Support, interpret and explain payroll policies/procedures, to various management constituents.

       

  • Execute bi-weekly multi-state payroll processing and adjustment through payroll system. This includes execution of payrolls in accordance with established policies, procedures, and Federal, state, and local regulations.

    • Maintain and update payroll information impacted by employment status changes including new hires, transfers, address changes, terminations and leaves of absence, as well as for changes in voluntary deductions, earnings and taxes.

    • Calculate, enter and process off-cycle manual checks and reversals.

    • Compute, calculate, and post financial and numerical data affecting new wages, such as bonuses or commissions, tax exemptions, insurance coverage, garnishments, etc.

    • Interpret and comply with Wage and Hour laws and regulations; ensure compliance with all corporate policies.

    • Review audit reports to monitor accuracy of data on employees’ weekly time reports and take appropriate actions.

    • Reconcile payroll and payroll tax expense to the general ledger.

    • Ensure compliance and adherence with internal controls over payroll processing.

    • Resolve payroll disputes; handle payroll questions

       

  • Process and maintain company expense reporting process using Certify software.

     

  • Protects organization's value by keeping information confidential.

     

  • Other tasks as needed.

     

SKILLS/EXPERIENCE:

 

  • Advanced proficiency with payroll tools, experience UltiPro a must

     

  • Knowledge of basic employment law and payroll-related accounting rules

     

  • Word-processing and excel skills

     

  • Strong communication, interpersonal, problem solving, attention to detail and analytical skills

     

  • Able to maintain a pleasant and courteous manner using good interpersonal skills to promote a professional and friendly atmosphere for all employees

     

  • Ability to work independently and on a team

     

  • Ability to work within strict deadlines

  • Contributes to team results by assisting others with related departmental tasks as needed.

     

  • Ability to maintain a high level of accuracy in preparing and entering financial information.

 

QUALIFICATIONS:

                                                                                                                             

  • 3 – 5 years of UltiPro payroll experience

     

  • Working knowledge of payroll and payroll taxes, and ability to analyze and interpret payroll data

     

  • Detail oriented and highly proficient in Excel

     

  • Strong sense of urgency and accountability

     

  • Communicate effectively with management, peers, and co-workers

     

  • Maintain the highest degree of integrity and confidentiality regarding employee data
