We are looking for an experienced Payroll & Benefits Administrator to join our Administrative Services team. Candidates with 5± years of hands-on payroll, accounting and benefits experience are encouraged to apply. Prior work experience in a professional services environment for an engineering, consulting, construction management, homebuilding, or legal services firm is preferred. A background as a Payroll & Benefits Administrator in an engineering or consulting firm is desirable.

Job Description

Working under the direction of our Administrative Services Manager, the successful candidate will have primary responsibility of processing payroll and employee benefits and keeping accurate records of all.

The Payroll & Benefits Administratorwill be expected to work closely with the firm’s administrative services team in implementing long-standing policies and procedures developed over the firm’s highly successful 65-year history. The team includes the department manager and an accounting administrator who, together, provide administrative support services to the firm’s Principals and Board of Directors, including the senior management teams in each of the firm’s professional services offices so they can focus on running their profit centers.

The successful candidate will be an internally motivated individual with a strong work ethic, a proven history of providing administrative services in a professional environment, and an individual who thrives in a strong, team-orientated company culture.

The successful candidate should live within a reasonable commuting distance of Pleasanton, CA, and be legally authorized to work in the United States.

Required Experience and Skills

The successful candidate will possess the following experience and skills:

Experience, Knowledge and Education

  • 5± years of experience working with employee benefits with a proven ability to administer benefit plans for health insurance, 401k, dental, vision, life insurance, etc.
  • Experience in organizing and implementing compliance efforts for all local, state, and federal labor requirements
  • Knowledge of workman’s compensation, general liability, automobile, professional liability, and health insurance programs
  • Experience in payroll processing that includes reviewing timesheets for accuracy and resolving errors as needed
  • Experience in accounting including an understanding of billing, AP, AR, GL and generally accepted accounting principles (GAAP)
  • Knowledge of InFocus or similar accounting software desired
  • Ability to plan and organize company’s annual dinner
  • Advanced knowledge in MS Office Word, Excel, PowerPoint and Outlook
  • Proven ability to work closely with a senior management team
  • Bachelor’s Degree in business administration, human resources, accounting, finance or related discipline is desirable, but not mandatory
