Payroll Administrator/Advisor

The Payroll Administrator/Advisor will work with the payroll team to administer time and attendance; payroll processing; 401k administration; compliance and payroll tax-reporting and banking, and providing overall sound guidance and advice to ensure meeting the payroll requirements of the organization.

Primary Responsibilities:

  • Build, document, and directly administer comprehensive payroll procedures to ensure excellence in payroll processing.
  • Provides guidance and analytical support to accounting department by: compile data for General Ledger interface, compile data for billable employees, breakdown of benefit invoices by location by employee, code payroll related invoices, provide data to accounting for new employee vendor setup.
  • Build and manage an effective employee reimbursement process.
  • Create monthly Balance Sheet Account Reconciliations.
  • Work with payroll team to ensure the reconciling of benefit invoices to payroll register, working closely with Accounting Coordinators, Human Resources, insurance carriers, 401k provider and the Stock Plan provider.
  • Proofs, reconciles and balances employee pay and deductions on a bi-weekly basis prior to transmitting payroll.
  • Acts as the back-up for payroll submissions, 401k contributions, FSA and HSA contributions.
  • Compile, monitor, calculate, enter, and maintain payroll data such as time and attendance, garnishments, vacation time, tax exemptions, and deductions.
  • Maintain accurate records for documentation and audit purposes.
  • Administer compliance framework for the 401k plan.
  • Maintains current knowledge regarding Federal and State payroll laws and regulations.
  • Assists with the monitoring and processing of jurisdictional notices and requirements.
  • Assists with the preview, reconciliation and monitoring of quarterly and annual reports.
  • Provides analysis and reporting for internal and external audits.
  • Track and process employee benefit related invoices.
  • Other duties as assigned.



  • Bachelor’s degree or equivalent experience
  • 10+ years’ experience in analytical and payroll positions
  • Hands on experience with ADP Workforce Now and Enhanced Time and Attendance strongly preferred
  • Minimum of 5 years direct payroll processing experience
  • 401k administration knowledge and experience
  • Deep knowledge of payroll, HSA, FSA, 401k compliance procedures
  • HSA and FSA account reconciliation and administration experience
  • Highly proficient with MS Excel, Word, Outlook and ADP payroll software
  • Knowledge of local, state, and federal payroll laws and regulations
  • Organized and detail-focused orientation
  • Strong oral, written, and interpersonal skills
  • Self-initiative
  • Demonstrated ability to meet tight deadlines
  • Ability to work with all levels of internal management and staff, as well as outside clients and vendors
  • Experience with multi-state and multi-jurisdictional payroll
  • Work with and protect highly confidential data and matters in an ethical manner
