Leave of Absence (LOA) Specialist

This position is primarily responsible for providing Leave of Absence related services and counsel to client’s team. Analyze each task assigned and identify areas for standardization and process improvement. Ensures and supports completion of compliance related duties in accordance with company policy, state and federal leave laws. Following client’s policies, federal and state regulations and best practices certifies, tracks and determines eligibility for leaves and verifies employees requesting leave receives proper paperwork and completed paperwork is submitted timely.

Essential Duties and Functions: include the following. Other duties may be assigned.

  • Serves as the subject matter expert for the client’s leave programs
  • Consults, advises and participates in the administration of leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, CFRA, ADA, USERRA, Pregnancy Discrimination Act, etc.).
  • Supports the approval/denial process for the client’s leave cases based on relevant medical information. Ensures that all confidential employee leave of absence records are kept in compliance with HIPAA, Employee Privacy guidelines and company policy and are closely monitored and effectively executed.
  • Works with the client’s team to ensure proper management of all administrative aspects of leave claims to include: tracking hours used/taken; return to work data; file reviews and working closely with the Managers, HR and Payroll to ensure that key dates, details and status for associates is accurate and correct.
  • Counsel HR Business Partners, managers and employees on topics related to Leaves of Absences.
  • Act as liaison between Employees, Benefits, Management and outside vendors as needed
  • Act as liaison to other department such as Benefits, Payroll, EAP, etc. to obtain answer to questions or resolve issues.
  • Supports the client’s process to collect Return to Work documentation, facilitates notification to HR and Management of any restrictions and provide documents to 3rd party vendor when applicable.
  • Assist with evaluation and tracking leave as an accommodation requests for reasonable accommodations and accommodations granted
  • Assist employees and managers in understanding the other types of leaves available (personal, military, etc.) and answer questions related to the policies and programs
  • Supports the client’s process to collect the necessary paperwork to document the approved leave and place it in the appropriate files

Miscellaneous Duties

  • Draft correspondence as needed for the various leaves
  • Ensure that the timekeeping systems are maintained with appropriate data and calculations are being performed correctly
  • Support file review, payroll adjustment and completion of EDD paperwork as needed

Standardization and Process Improvement

  • Analyze tasks assigned and redefine and document each in a Standard Operating Procedure (SOP) Update SOP’s as processes change
  • Ensure compliance with all federal, state and local laws relative to leaves
  • Stay abreast of legal and/or regulatory changes relative to Leave of Absence laws

Requirements

  • Minimum 2 years in absence management in disability management and/or FMLA/CFRA administration experience preferred
  • Knowledge and understanding of federal and state legislation, rules and standards related to absence management programs coordinated.
  • Strong interpersonal skills, organizational abilities, and problem-solving skills.
  • Ability to analyze and improve processes.
  • Effective verbal and written communication skills.
  • Experience with Microsoft Office Suite
  • Ability to independently research issues and make effective recommendations using critical thinking skills.
  • General knowledge of the principles and practices of human resource management.
  • Ability to independently manage processes and projects.
  • Ability to maintain effective and cooperative working relationships with managers and employees.
  • Excellent organizational skills and attention to detail.
  • High school diploma or GED required. College degree and/or college courses preferred
  • Licenses & Certifications: CLMS preferred or willingness to obtain CLMS certification
