Office Administrator needed for Galleria Area Law Firm with 20+ attorneys. This position is responsible for the day-to-day operations of the firm including accounting, finance, human resources, facilities management, information systems, and other administrative services.

Essential Functions

  • Financial – Overseeing firm financials by developing annual office budget,generating monthly firm financial reports and financial analyses, reconciling bank accounts, supervising accounting staff to ensure successful operation of accounts receivable and accounts payable, processing payroll, and working with firm accountants to coordinate filing of firm’s tax returns.
  • Human Resources – Supervising non-attorney staff members, ensuring firm policies and procedures are met in accordance with Federal and State employment laws including maintaining employee handbook,maintaining personnel files,tracking employee billable hours and personal time off, on boarding new employees,participating in non-attorney staff performance reviews, and administering benefits including annual open enrollment and 401(k) administration.
  • Facilities Management – Maintaining relationships with firm vendors including negotiating vendor contracts, coordinating annual renewal of firm insurance policies and attorneys’ professional licenses, and maintaining relationships with building management.
  • IT Network Support – Overseeing renewal of software licenses and maintenance contracts, assisting firm employees with IT issues and coordinating with IT vendor, evaluating acquisition of new computer hardware and software.
  • Other Administrative Services – planning firm events, coordinating office moves and build-outs, and ensuring the smooth firm operations on a daily basis.

Requirements

  • Excellent organizational and time management skills

 

  • Ability to communicate effectively and handle multiple assignments and deadlines

 

  • High level of proficiency in MS Office including Word, Excel, and PowerPoint; Adobe Acrobat; and HRIS software

 

  • Detail oriented with solid written and oral communication skills

 

  • Bachelor’s Degree, preferably in Accounting or Finance

 

  • 5 years’ experience as a law firm or professional services office administrator
