 *Confidential Company is looking for a skilled and ambitious Human Resources Representative who will serve as the first point of care, service and support for our customers. This position will get exposure to all functions of Human Resources and will be a strong partner to the HR team.

As our HR Representative, you will focus on the core responsibilities of benefits administration, new hire onboarding, HR data management, policy administration and compliance within multiple units of the business. In this role, you will contribute to making *confidential company a better place to work by delivering exceptional customer service to our internal and external customers. This is a high-visibility position reporting to the U.S. Senior Human Resources Manager.

Our ideal candidate is someone who has strong organizational skills, is detail-oriented, and enjoys working in a fast-paced team environment with HR professionals dedicated to implementing various new HR initiatives across the company. The successful candidate will be expected to manage multiple competing priorities and meet (sometimes short) deadlines with a positive and enthusiastic attitude. The HR representative position involves various responsibilities and requires flexibility and a willingness to jump in where needed.

Primary Duties & Responsibilities:

Onboarding

  • Develop, conduct and maintain employee onboarding experience for all new hires.

  • Communicate with new hires before their start to provide necessary new hire paperwork, employee handbook, benefits information and other pertinent information.  

  • Process new hire paperwork and enter required employee information into applicable systems.

  • Ensure that all new hires have required equipment, company access, and office supplies before their start date.

  • Act as a resource for new employee general inquiries.  

Benefits Administration & Wellness

  • Administration of all benefit and retirement programs, including medical, dental, vision, life insurance, short and long-term disability, workers compensation and 401(k).

  • Lead coordination of annual Open Enrollment process.

  • Plan and coordinate wellness programs, fairs, and meeting with vendors.

  • Respond to benefits and 401(k) inquiries from employees on plan provisions, benefits enrollments, status changes and other general inquiries.

  • Inform employees on benefits matters regarding eligibility, coverage and provisions.

  • Follow-up with new hires regarding benefits enrollment and confirm that the enrollments are entered correctly and complete in ADP.

  • Ensure the accuracy of all benefits enrollments in ADP to provide carriers with accurate eligibility information.

  • Serve as a point of contact with benefit vendors/administrators.

  • Distribute all benefits enrollment materials and determine eligibility.

  • Process and administer all leave-of-absence requests and disability paperwork—medical, personal, disability and FMLA.

  • Effectively interpret FMLA and ADA implications as they relate to leaves of absences/disabilities.

  • Provide necessary reports for allocation/billing charges.

  • Ensure compliance with COBRA guidelines by processing initial COBRA notification to vendor; receive and record COBRA insurance premium payments.

  • Reconcile benefit vendor invoices to ADP system and follow-up with venders as needed.

Requirements

Skills & Qualifications

  • 2-3 years of benefits administration experience required.
  • BS or BA in a related field of study preferred.
  • Excellent writing, communication, and interpersonal skills are required, as the HR representative will have the opportunity to engage with employees and executives across the company.
  • Must also have an ability to exercise discretion over confidential and sensitive employment information.  
  • Advanced computer skills and proficiency with the Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) and various HRIS software and systems, preferably ADP.
  • Candidates who are motivated self-starters with some meaningful HR experience and a strong desire to engage in and learn the various aspects of the HR function will be considered.   
  • Must be able to work in a fast-paced environment and have a strong sense of urgency and problem-solving skills.
