Human Resources Generalist + Recruiter

Your Role


Gensler is seeking a well-rounded hands-on Senior Human Resources Generalist and Recruiter who will work closely with local and regional leadership teams and staff members to manage recruiting and HR functions while proactively addressing issues to enhance the cohesive team environment across the region. This position will be involved with all aspects of Human Resources, and will be the primary point of contact for all Human Resources related activities at Gensler’s San Jose office.

 While the position will physically be located in San Jose, you will be part of the Northwest Region HR team based in San Francisco and there be will regular instances where you will attend meetings in that office.

What You Will Do

HR Generalist responsibilities include but are not limited to:

  • While always working under the umbrella of the NW Region and in conjunction with the region’s HR team, you will serve as the primary point of contact for San Jose’s local leadership and staff regarding general inquiries on policy interpretation, local office practices, benefits administration, payroll, recruiting and various human resources related programs
  • Provide counsel to office leadership and prepare and review appropriate documentation associated with disciplinary actions and employee performance matters
  • Serve as the primary point of contact for the upkeep of all local office HRIS data entry / maintenance for existing staff, and incoming new hires
  • Responsible for coordination of on-boarding and new hire orientations that will occur virtually with various other offices in the NW Region
  • Responsible for developing a thorough understanding of all Gensler policies, and ensure federal and state regulatory compliance within local offices
  • Assists in all EEO/AAP tracking requirements associated with Talent Acquisition
  • Proactively address all employee relations issues and performance matters with utmost discretion and confidentiality
  • Maintain documentation on local offices human resources related issues
  • Work closely with the Regional Talent Development Specialist and the local Learning Committee to oversee training and learning programs in the San Jose office
  • Ability to effectively engage, advise and operate as a “Business Partner” to management on human resources related issues
  • Provide clear advice and direction for staff regarding payroll, benefit administration, immigration and visa requirements, and various HR related programs and community initiatives
  • Attend studio meetings and have a comfort level communicating information and giving presentations for groups from 10 to 30

Recruiting responsibilities include but are not limited to:

  • Responsible for full-cycle recruiting for 15+ requisitions for San Jose and other positions throughout the region to actively source and hire talent
  • Partner with our HR Leadership team and other senior leadership in the region to define, implement and execute effective recruitment strategies
  • Represent Gensler as a “Brand Ambassador”, marketing our firm through best in class recruitment technology, and social media platforms
  • Manage a full life-cycle recruitment process, from research and sourcing through the offer and acceptance, with both active and passive candidates from emerging talent through executive leadership
  • Manage the logistics of candidate assessment, candidate presentation, scheduling interviews and providing background information to key stake holders, follow-up feedback and reference checking
  • Advise team members on competitive research and market trends while offering strategic solutions for recruitment during changing business trends
  • Build a pipeline of targeted prospects for Gensler by developing relationships with candidates as a trusted advisor
  • Data management of the applicant process


Your Qualifications

  • 8+ years of progressively responsible recruiting and Human Resources Generalist experience
  • Experience in this capacity at an Architecture and Design firm highly preferred
  • Must display a high degree of Emotional Intelligence and professionalism
  • Bachelor's degree in Business, Human Resources, or related field required, with SHRM-CP or SHRM-SCP Preferred
  • Demonstrated ability to work proactively and collaboratively within a team setting to accomplish business objectives
  • Excellent organizational skills and management capabilities, with keen attention to detail
  • Must be proactive, with the ability to engage with leadership to create strategies and delivery methods for solutions to important business issues
  • Ability to manage through ambiguity and multiple competing priorities in a fast paced environment
  • Ability to build and maintain effective, positive working relationships across all levels of staff and leadership
  • Proficient in the use of HRIS (Workday highly preferred), Outlook, and MS Office Suite applications. Knowledge of InDesign a plus.
  • Knowledge of FMLA, CFRA, HIPAA, COBRA and other Federal, State and local regulations.
  • Excellent business communication, supervisory, organizational, and analytical skills, with the ability to create solutions appropriate for design-based organizations.
  • Intellectual Curiosity to expand knowledge of HR practice
