Basic Staff Member Expectation:


Because of the fluctuating demands of the Club's operation, it may be necessary that each Employee perform a multitude of different functions; therefore, as an essential part of your job, you will be expected to help others when the occasion arises, just as other Employees are expected to help you. Accordingly, you may be expected to perform other tasks as needed or as directed. Adhere to all of the various written mandatory standards of operations, policies and procedures, manuals, memos, oral instructions, etc., all of which go to make up the essential functions of the job.


Position Description Summary:


Assist club management staff with recruitment, selection and orientation of new staff members. Administer payroll records and assure that all applicable federal, state and local wage and hour, Worker’s Compensation, Health Care Reform (ACA) and related laws are consistently complied with. Coordinate risk management and safety programs. Implement data collection systems and processes and record wage and salary payments. Manage the club’s health, and other benefits programs. Implement employee recognition programs as well as keep all employee incentives on going. Run CMAA program and updated with correspondence with CMAA programmers and new employees. Assure Payroll function is ran smoothly and all payroll process is updated bi-weekly without flaw in coordination with Payroll Clerk. Assuring that all Managers adhere to the department Performance reviews with staff to insure progressive growth throughout the club. Conduct labor analyses, staff planning and other studies as requested. The pivotal center of the club in regards to employee relations and growth as well as the financial analyst for streamlining all budgets from each department for labor cost and most importantly to administer and uphold compliance to the employment law standards. In charge of all Employee programs and overseeing each. Upholding all OSHA and Workers Comp programs as well as FMLA. Must be familiar with most employment law practices with Oklahoma Law.



Responsibilities, Essential Functions, Relationships and Operational Expectation:


Job Tasks/Duties

  • Manages the club’s personnel program; assists in the development and implementation of applicable policies and procedures; processes various labor staffing reports; coordinates software applications to generate required information.

  • Develops and places recruitment ads and social media messages; plans recruitment strategies; screens applicants; processes all employment applications; checks applicant’s references; makes hiring recommendations and coordinates necessary correspondence and forms.

  • Conducts preliminary employment interview with applicants.

  • Benchmarks the club’s employee recruitment and selection processes with others in the industry and explores new strategies as appropriate.

  • Ensures that new employees complete necessary employment forms and confirms that they are authorized to work in the United States.

  • Provides general property orientation for new employees; assists in the development and implementation of inter-department orientation and training programs.

  • Develops and maintains a library of training resources specifically designed for each position.

  • Assists department heads in planning professional development and training programs for employees.

  • Conducts and reviews wage and benefit surveys.

  • Proposes employee benefits enhancements to the General Manager.

  • Coordinates, monitors and suggests improvements for the club’s employee performance appraisal system.

  • Coordinates all employee record-keeping functions in accordance with federal and state requirements.

  • Keeps current with laws and regulations relating to employees; assures compliance with these laws and regulations; advises club managers as necessary.

  • Maintains OSHA-related logs and reports as required by law.

  • Continually reviews and assists in updating the employee handbook and personnel-related policies; assists in the management of the club’s progressive discipline program; maintains club policy manual.

  • Manages the club’s group insurance, unemployment and related benefits programs; communicates benefits information to staff.

  • Undertakes special projects relating to job description and specification updates, performance appraisal improvements, wage and salary comparison surveys, long-range staff planning and other personnel issues.

  • Coordinates transfer, promotion and layoff strategies within the club.

  • Establishes employee motivation and retention programs.

  • Organizes employee activities such as the holiday party and other outings as appropriate.

  • Organizes employee recognition functions.

  • Advises line managers about discipline, discharge and related employment matters.

  • Interacts with General Manager and department heads to investigate employee violations of club policies and to recommend correction actions, if necessary.

  • Handles all issues relative to personnel legal issues involving concerns about EEOC, harassment and lawsuits.

  • Manages the club’s educational and referral program.

  • Administers the club’s formal labor relations program with unionized employees.

  • Creates and maintains organizational charts.

  • Compiles and adheres to departmental budget; takes corrective actions as necessary to help assure that budget goals are met.

  • Recruits, trains, supervises, schedules and evaluates HR Department.

  • Works with payroll personnel to assure that all forms required of new employees are completed

  • Makes sure that payroll is ran with efficiency weekly.

  • Oversees all work-related injury claims to ensure integrity, ongoing case management and reporting compliance.

  • Maintains employee bulletin boards.

  • Runs all reports for eligible driver reports for employees driving club vehicles.

  • Attends management and staff meetings as scheduled.

  • Develops personnel-related reports for the General Manager or department heads.

  • Maintain all parts CMAA University program

  • Maintain all parts of Benefits Programs to include enrollment and negotiating best policy and rate

  • Control and maintain all departments as they adhere to all hiring practices

  • Maintain the Health Care Reform Law (ACA) and adhere to all parts of the law to maintain the input of reports into database.

  • Produce all reports to IRS for 1094-C ACA demands and 1095-C to Employees at year end

  • Produce all EEOC report to Government

  • Employment Verification demands daily

  • Recreate Forms to continually update and change to conform to the needs and the demands of the club

  • Keep track and updated with all FMLA leave on all employees

  • Counsel daily with employees and help meet their demands or needs

  • Order all supplies for department and for employees incentives


Reporting Structure and Exempt Hours:


  • Reports Directly to: CEO/General Manager  

  • Directly Supervises: Payroll Clerk; and any position under account department.

  • Full-time position that works between 40-50 hours per week on average. These hours may increase or decrease at times to accommodate business fluctuations, no specified days are detailed.

  • Considered to be qualified for Full-time benefits.

  • Must be able to work holidays and weekends.


    Job Requirements or Work Experience Licenses Special Requirements, License or Certifications:


  • Minimum of bachelor’s degree or equivalent in Human Resources, Personnel Management, Psychology, Education, Public Administration or Organizational Development.

  • Specialized training in employment law, compensation, organizational planning and development, employee relations, training or labor relations preferred.

  • Ten plus years of diversified experience in Human Resources positions, some of which should be in the hospitality industry.

  • SHRM CP certification preferred or certificate from an HR Generalist Program.


    Job Knowledge, Core Competencies and Expectations

  • Broad knowledge and experience in employment law, compensation, organizational planning and development, employee relations, safety and training.

  • Working knowledge of club policies and guidelines as outlined in the club’s Employee Handbook and club by-laws and rules.

  • Excellent written and oral communications skills.

  • Demonstrated ability to interact effectively with the club’s staff as well as serve successfully as a key participant on the executive management team.

Physical Requirements:

Physical Demands and Work Environment

  • Must be able to reach, bend, stoop, stand and lift up to 40 pounds.

  • Must be able to sit for prolonged periods of time.

  • Moderate noise level in the work environment.

All measures will be taken to adhere to the Occupational Safety and Health Administrationof the United States Department of Labor. All Oklahoma rules are the same regulations followed by Federal OSHA.
