Human Resources Coordinator

The human resources coordinator provides assistance with and facilitates the human resources process at all office locations. Based in the firm’s Florham Park office, this role administers employee health and welfare plans and acts as liaison between employees and insurance providers. This position is the initial point of contact for staff recruitment – job postings, resume review, phone screening, scheduling interviews, and reference checks. This role provides administrative support to the human resources function as needed including record-keeping, file maintenance and HRIS entry.

Essential Duties & Responsibilities

  • Assists with recruitment and interview process. Post job descriptions; screen resumes; coordinates interviews with recruiting agencies, managers, and attorneys; track status of candidates and respond with follow-up letters at the end of the recruiting process.
  • Administer health and welfare plans including new enrollments, changes and terminations. Process required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions.
  • Participate in all open enrollment activities during year-end.
  • May participate in the review of payroll input.
  • Quarterly 401k review relating to compensation, contributions, and firm match.
  • Perform customer service functions by answering employee requests and questions in a timely manner.
  • Respond to requests for verification of employment.
  • Conduct internal audits to ensure proper compliance.
  • Assist with periodic diversity reports.
  • Verify I-9 documentation and maintain files.
  • Assist with all phases of the new employee on-boarding process.
  • Maintain compensation spreadsheets.
  • Assist with processing departures.
  • Assist with the preparation of the performance review process.
  • Maintenance of time-keeping reporting system.
  • Ensure employee notification system is current and sends alert and notifications for employees as needed.
  • CLE database back-up.
  • Keep employee files current.
  • Coordinate employee meetings, luncheons, etc.
  • Occasional travel to firm offices.

 Required Education & Experience

  • Bachelor’s Degree or equivalent HR experience.
  • A minimum of 5 years’ Human Resources experience, preferably in a legal/professional services environment.
  • SHRM/HRCI certification.
  • Microsoft applications.
  • Performance management software.
  • Prior payroll experience.
