Under the direction of the Human Resources Manager, the HR Recruiting Assistant Manager is responsible for the oversight, and day-to-day management, of the business services Recruiters as well as the business services recruitment policies, procedures and staffing. The HR Assistant Recruiting Manager will also will have responsibility for the recruitment of senior level (4 and above) exempt positions for the firm and provide staffing solutions for business services across the Americas, as needed. This role will develop strategies to attract a diverse pool of top talent for executive and senior level leadership positions, work closely with firm leadership and hiring managers to assess their needs as it applies to placement, job postings and executive on-boarding. The Recruiting Assistant Manager carries out his or her duties below directly or through the assistance of the Business Services Recruiters.


Business Services Recruiting Management
  • Develop and manage the recruiting team.
  • Ensure proper requisition ratios/balance and appropriate alignment with firm administrative departments.
  • Develop or acquire the right capability mix to ensure the talent is in the right role.
  • Establish the recruiting strategy for US business services.
  • Partner with HR Manager to facilitate workforce planning with each functional lead as part of the annual budget process.
  • Ensures staffing processes align with current and future workforce needs.
  • Develop recruiting metrics and standard reporting.
  • Manages reports and information from the recruitment database.
  • Recruiting vendor/agency relationship management.
  • Maintain a list of preferred vendors by function or location.
  • Work with HR Manager to develop and manage the recruiting budget with a goal to reduce spend on external agencies.
  • Work with the HR Manager to partner with marketing/communications to develop the employment brand and manage branding activities.
  • Partner with Diversity & Inclusion team to develop and manage diversity recruitment initiatives for business services. 
  • Plan and oversee various career fairs and mass recruitment initiatives; identify new external recruiting opportunities to promote the firm.
  • Keep abreast of all laws and regulations regarding recruiting and hiring.
  • Closely monitors, proposes, drafts and implements changes to recruiting and hiring policies and procedures, keeping hiring managers abreast of current workflow and process changes.
  • Review current recruiting database and discuss with individual recruiters and/or managers challenges with resume processing, sourcing, and/or issues with filling specific positions.
  • Determine areas for improvement and implement procedures for same (e.g., sourcing applicants, postings, etc.).
  • Partners with Business Services Recruiting Operations, Team Lead to recommend changes in business services orientation programs in all US offices.Executive Recruitment
  • Operate as the recruiting client relationship manager for business services positions at the Director level (4 and above) or higher.
  • Conduct all screenings, assessments, HR interviews to determine candidate’s qualifications and job requirements.
  • Evaluate and present a small pool of vetted qualified candidates to hiring Manager for executive or senior management positions.
  • When appropriate, works with executive search firms to develop and maintain a highly qualified candidate pool.
  • Discuss hiring needs and position requirements with hiring managers for all positions assigned through an intake meeting; This will include mapping out role criteria, define position description and document specifications, determining the profile for the ideal candidate and the sourcing strategy needed.
  • Knowledgeable of the market and/or function to provide insights to hiring manager in developing the recruiting strategy.
  • Track and identify prospective candidates using a variety of channels.
  • Identify and utilize various recruitment sources to advertise positions, i.e. legal association websites, targeted job boards, specialized publications and as necessary retained or contingent search firms and/or internal sourcing consultant.
  • Manage working relationships with executive search firms.
  • Assess candidates to ensure qualification match and candidates are cultural fit.
  • Present shortlisted candidates and provide detailed profile summaries.
  • Partner with Senior HR Manager to determine total compensation package for candidates.
  • Partner with Regional HR Assistants to ensure due diligence is completed according to firm policy, including reference and background checks, education and employment verification and client conflicts checks. 
  • Extend offers to candidates upon the approval of the hiring manager in congruence with firm policies and procedures.
  • Responsible for executive on-boarding, which includes orientation, and assist with the candidate’s transition.
  • Special strategic projects as needed. Other duties as assigned. • All members of the firm are encouraged to participate in our Global Citizenship program.


Requirements

QUALIFICATIONS REQUIRED SKILLS
  • Strong verbal and written communications required;
  • Must maintain confidentiality and exercise good judgment;
  • Must have good analytical skills;• Strong people management skills.
  • Experience managing a team preferred.
  • Must be able to build relationships with all levels of management;
  • Substantive knowledge of HR employment regulations, rules and policies.
 
EDUCATION, CERTIFICATIONS AND/OR EXPERIENCE
  • Minimum five (5) + years of human resources management experience strongly preferred, with at least three (3) + hands-on substantive experience in high volume recruitment and hiring.
  • Law firm experience in human resources preferred.
  • Retained search experience a plus.
  • Developing metrics and reporting experience preferred.
  • College degree preferred;
  • HR certification and/or advanced HR degree preferred. 
 
PHYSICAL DEMANDS
  • Ability to travel to other offices, including GBSC in Louisville, as requested or required. 

    HOURS
  • Core hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Must be flexible to work additional hours and travel for the firm.This job description sets forth the authorities and responsibilities of this position and may be changed from time to time as shall be determined.
