Mullen Coughlin, a growing, fast-paced specialized data privacy law firm located in Wayne, PA is seeking an experienced Human Resources Generalist to provide full-time support and assistance in all HR-related areas including: a) creation of operations manuals; b) updates to policies and procedures manuals; c) assisting with recruitment, payroll processing, and benefits administration. The ideal candidate will have a strong ability to think strategically and analytically. Position Summary:

 

The Human Resources Generalist, under direction of the HR Manager, will perform the day‑to‑day operations of the human resource functions and duties, and will contribute to the development and implementation of the Firm’s HR-related processes and strategies.

 

  • Assist with efforts to establish, implement, and monitor compliance with HR-related policies and procedures.
  • Assist with efforts to establish an operation’s manual.
  • Assist with training and development for Firm’s attorneys and support staff.
  • Assist with all aspects of payroll processing, in coordination with third party vendor.
  • Assist with managing time/absence reporting process, ensuring compliance with Firm policies, and research/implement a third-party automation solution.
  • Report work related injuries/illnesses to insurance carriers and assist in the resolution of the claims.
  • Manage Leaves of Absence for employees; prepare FMLA documents.
  • Maintain OSHA records, and prepares annual reports.
  • Support all recruiting/filtering/scheduling/offer letters/background checks/hiring.
  • Support on-boarding and off-boarding of employees.
  • Support recordkeeping.
  • Support employee orientation, development and training logistics.
  • Support health and welfare benefits administration, in coordination with relevant third parties.
  • Support retirement benefits administration, in coordination with relevant third parties.
  • Assist with coordination of performance management and improvement processes.
  • Assist with scheduling for the Firm’s on-call program.
  • Assist with information gathering for the Firm’s bonus program. 
  • Be a positive change agent by identifying potential improvements - including practical improvement recommendations - that will make Mullen Coughlin LLC a sustainable best-practice operation.
  • Take on additional operational assignments or special projects as determined by Firm management, in order to ensure Firm/Office is operating effectively, and to assist with workload balancing.
  • Exercise good judgement in escalating potential issues to your Manager.
  • Develop an external network of HR professionals to assist with benchmarking activities and process-improvement initiatives.

 

 

Requirements

Ideal candidates will possess the following qualifications:

  • 2-3 years of work experience in Human Resources.
  • SHRM-CP, PHR or similar certification preferred
  • Working knowledge of the functions of an HR Department and Labor laws for firms with 50+ employees.
  • Positive and engaging attitude.
  • Need excellent IT aptitude/skills to function self-sufficiently using various Firm software/systems.
  • Proficient in Outlook emails/calendaring, and working knowledge of Microsoft Office Word/Excel.
  • Excellent communication skills and quick communication response times on email, on the phone and in person.
  • Must have highest integrity, including ability to treat confidential information appropriately.
  • Team player who must effectively communicate/interact with all members of the Firm.
  • Must be available for full 40-hour work week at Wayne PA office, and flexible/willing/motivated to work additional hours necessary to fulfill job requirements.
  • Must be a good listener, with ability to communicate effectively, both verbally and in writing.
  • Experienced multi-tasker.
  • Great attention to detail.
  • Working knowledge of standard office equipment (laptop; printer/copier/scanner; Fax; etc.).
  • High school degree or equivalent.
