Alfasigma USA is seeking a Human Resources (HR) Generalist to coordinate and manage a broad range of functions in the HR Department.  The HR Generalist will also provide consultation and guidance to all levels of staff and management regarding implementation and interpretation of employment laws and policies to ensure consistent application and compliance across the organization.  Partnering will be essential in implementing and administering various HR programs such as but not limited to leave management, workers’ compensation administration and employee life cycle from onboarding through termination. 

KEY FUNCTIONS:

Compliance:

  • Maintains organizational compliance with federal, state and local employment laws and regulations; researches new and/or changes to existing laws and regulations and recommends and/or implements processes/improvements
  • Creates and maintains master annual HR compliance calendar and partners with colleagues to meet function specific requirements
  • Administers leave of absence programs, coordinating disability payments and coding time appropriately in HRIS
  • Assigns Integrity Hotline cases to appropriate HR Business Partner, provides timely updates and closes cases
  • Reports, monitors and follows up on all workers’ compensation case claims, coordinating disability payments and coding time appropriately in HRIS; completes annual OSHA 300
  • Assists vendor partner in developing and maintaining annual Affirmative Action Plan and filing of annual EEO-1 and maintains other records to conform to EEO regulations
  • Maintains and processes all unemployment notices and potential charges in a timely manner
  • Completes legal requests for documentation in a timely manner
  • Acts as backup for offer letter and pre-employment screening process

Employee Lifecycle:

  • Completes, verifies, maintains organizational I-9 process and trains remote managers regarding I-9 form completion
  • Facilitates HR orientation with new hires
  • Updates new hires, status changes, leaves of absence and terminations in HRIS and communicates to appropriate internal departments; maintains distribution lists
  • Maintains payroll notes regarding new hires, special payments, garnishments, leaves of absence, terminations
  • Submits one-off payroll time adjustments after payroll closes as appropriate
  • Audits bi-weekly payroll detail registers and communicates corrections as appropriate
  • Prepares and maintains employee files
  • Completes employment verification requests
  • Acts as backup to prepare ad hoc and/or regularly scheduled HRIS reports

Generalist:

  • Partners with management of functional areas, HR Business Partners (HRBP) and Legal department to implement and interpret various HR policies and procedures and employee handbook
  • Partners with management of functional areas and HRBP to create and revise job descriptions
  • Assists HRBP in workplace investigations as appropriate
  • Assists HRBP with completion of exit interviews, analyzing data and reporting trends 

Requirements

  • HRIS Administration Experience
  • Bachelor’s degree required. 
  • 3-5 years of experience in benefits administration or related field.
  • HR or Benefits related certifications preferred.

PREFERRED SKILLS:

  • Experience with a workforce of 300+ and/or experience with field-based workforces; experience in healthcare or pharmaceutical industry a plus
  • SHRM-CP or PHR Certification preferred
  • Broad knowledge of the laws, regulations, policies, procedures and practical applications governing the functions of Human Resources
  • HRIS experience a preferred; Ultipro experience desirable
  • Proficiency in MS Office Suite including Word, Excel, PowerPoint, and Outlook
  • Ability to treat all information as confidential and demonstrate a high level of ethics, trust and professionalism
  • Excellent time management skills, including the ability to organize, prioritize and balance multiple projects concurrently and efficiently
  • Ability to make decisions in a timely manner with sometimes limited but adequate information
  • Adaptable to change in a fast paced environment
  • Ability to proactively seek out opportunities and make recommendations to improve departmental processes and efficiencies
  • Exceptional interpersonal and communication skills; capable of relating to individuals at all levels
