GENERAL SUMMARY:

The HR Assistant, working under the supervision of the HR Manager, assists with the administration of the day-to-day operations of the human resources functions and duties. The Human Resources Assistant contributes to the accomplishment of Human Resources practices and objectives that will provide an employee-oriented, high-performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, and the recruitment and ongoing development of a superior workforce.

Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Recruiting:

  • Posting position descriptions in MGAC’s Applicant Tracking System (ATS) and in ensure consistency on the MGAC website, LinkedIn, and other job sites.
  • Conduct basic prospecting activities, including canvassing new leads on LinkedIn, sending introductory emails to prospective candidates, reviewing resumes for basic qualifications and fit, and coordinating screening interviews with approved applicants.
  • Update ATS on a daily basis for Managing Directors/Hiring Managers review
  • Coordinate interviews with the Managing Directors/Hiring Managers and collect interview feedback in a timely manner.
  • Assist in drafting offer letters for candidates.
  • Track offer letter status and coordinate counter offer responses with Managing Director/Hiring Manager.
  • Compile recruiting related reports.
  • Coordinate background and reference checks, business card orders, and provisioning forms for new hires.
  • Assist with college recruiting and intern programs as assigned.

Human Resources:

  • Prepare for the onboarding of new hires by printing and organizing the MGAC Red Book, collecting swag, access pass creation, and reserving conference rooms.
  • Provide office tours to new hires and coordinate headshots.
  • Ensure new hires complete onboarding paperwork accurately.
  • Complete I-9 verifications.
  • Enter new hires into the payroll and accounting system.
  • Assist in the preparation of forms for out-processing employees.
  • Update the MGAC Red Book and Staff Directory monthly.
  • Update HR regulatory posters in common spaces at all MGAC office locations.
  • Assist with open enrollment for employee benefits.
  • Assist in the creation of the HR Update communication emails.
  • Send out Lunch & Learn invitations, coordinate conference rooms, lunch orders, and track attendees for training events.
  • Provide special event/informal training event assistance as required.
  • Assist with filing, reports, and general research as needed.
  • Provide audit support as needed.

KNOWLEDGE, EXPERIENCE, AND SPECIAL SKILLS REQUIRED:

  • Bachelor’s degree in human resources.
  • 1-3 years of general business experience, human resources experience preferred.
  • Must be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings.
  • Practices and ensures strict confidentiality while performing duties.
  • Must be organized, accurate, thorough, and able to monitor work for quality.
  • Must be able to prioritize and plan work activities as to use time efficiently.
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback

PHYSICAL JOB DEMANDS:

Reaching above and below, stooping, and bending. Lifting/carrying/moving up to 50 pounds. Manual dexterity to operate office equipment, files, and performs specialized skills. Needs a high degree of concentration in a busy office, flexibility, and an ability to thrive in an open work environment.
