Position Summary:  This entry level position is responsible for assisting and supporting the human resources staff in the day-to-day functions of the department.   The HR Assistant is also responsible for assisting the training coordination function for company-wide training programs. 

 

Essential Job Functions:

  • Provides assistance with recruiting and staffing activities including job posting administration, scheduling interviews, maintaining candidate files and candidate tracking database. Assists with reference checks and prepares offer packets and new hire files.
  • Assists with recruiting, selection and on-boarding of temporary employees.
  • Assists with new employee orientation
  • Responsible for organizing, maintaining and archiving personnel files.
  • Assists with training related activities, as directed by the Director, EHS.  Training activities will include, but are not limited to, scheduling, training logistics (scheduling of rooms, automated equipment needs, recording for off-site employee purposes, e-learning, Power Point presentation development) and recordkeeping.
  • Maintains FDI events calendar (training sessions, large meetings, audits, VP visits, etc.  
  • Responds to verifications of employment status, wage garnishments and other employee inquiries.
  • Assists with benefits administration including billing, preparing disability packets, tracking leaves and benefits enrollment.
  • Provides HR support to sales personnel. Processes quarterly sales commissions.
  • Maintains employee information by entering and updating employment and status-change data in Human Resources Management System (Oracle).
  • Assists with employee activities including wellness classes, activities and special events.
  • Handles, maintains and tracks bills and PO’s for department.
  • Maintains quality service by following organizational standards.
  • Follows all company environmental, health and safety policies, procedures, and guidelines and conducts work in a safe manner.
  • Other duties as assigned.

Requirements

 

Job Specifications (skills, knowledge, special training, certification, license requirements):

  • Bachelor's degree in Human Resources, or equivalent experience required
  • Minimum of 1 year of HR experience a plus.  
  • Strong Microsoft Office skills are required including, Word, Excel and PowerPoint.
  • HRMS database experience. Oracle experience a plus.
  • Ability to interact with all levels of staff in a calm and professional manner.
  • Ability to work in a high pressured, deadline-oriented environment.
  • Attention to detail and organizational skills are essential.
  • Ability to maintain employee confidence and protect operations by keeping HR information confidential.
  • Excellent communication skills.
  • Ability to prioritize, organize, plan and manage a heavy workload.
  • Excellent phone and interviewing skills.
  • Excellent attendance and a consistent work schedule is required.
