The purpose of this position is to provide effective and efficient support and assistance in all functional areas and duties of human resources administration and day-to-day operations including, but not limited to, maintaining personnel files, data entry, responding to employee inquiries as directed, and performing general clerical tasks.




Provide a high-level of customer service to the agency’s internal and external customers, both in-person and by telephone.


Ensure all personnel files are assembled within 48 hours of new hire orientation. 


Ensure all personnel files are filed in the HR file room each Friday after the new hire orientation session.


Ensure accurate and weekly filing of all incoming personnel file and supporting documentation.


Create and maintain an audit system that ensures all personnel files are 100% current and compliant with all federal, state, regulatory and funder requirements, including conducting file audits, preparing audit reports and purging files for storage or shredding.


Ensure timely follow up in order to secure any missing personnel file documentation.


Develop and maintain an effective and efficient system to ensure the timely and accurate processing, follow-up and filing of all documents required by the agency and the agency’s funders (i.e. Joint Commission, Department of Children & Family Services, HealthWorks, I-9s, etc.).


Screen telephone calls, emails and faxes that are sent to the HR department and direct them to the appropriate HR team member.


Respond to both written and verbal employment verification requests in an accurate and timely manner.


Prepare and voucher vendor bills for payment in a timely and accurate manner.


Assist, as needed, with entering and processing employee status changes (new hires, rehires, transfers, terminations, etc.) in HR database.


Complete all Core Curriculum Training(s) required for this position.


Perform all other duties and projects as assigned.



QUALIFICATIONS  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.



High school diploma or GED and at least one year of previous experience in a fast-paced administrative or human resources role required.   Bachelor’s degree in Human Resources preferred. 


Other requirements include:


Previous experience working in a busy administrative role, supporting multiple activities and dealing with a wide variety of internal/external customers.


Experience in developing and maintaining efficient and effective administrative and filing systems.


High-level computer skills including creating spreadsheets, graphs, databases and PowerPoint presentations.


Self-starter, well organized and able to prioritize effectively in order to maintain a high  level  of  performance and efficiency.


Approachable and supportive manner, with strong customer service skills.


Ability to deal with a wide range of people and establish effective working relationships with staff and managers.


Attention to detail and a high level of accuracy.


Ability to maintain confidentiality and exercise discretion.
