Tasks & Responsibilities:

  • Partner with the HR, Finance, and external resources on benefits planning process to ensure adequate forecasts and calculations of expenditures for budgeting, reporting, and other analytics. Develop proposals to determine offerings based on budget, employee surveys, and other relevant data.

  • Work with insurance broker to negotiate health benefit premiums and design benefit packages that meet the needs of employees and are aligned with company objectives.

  • Communicates with insurance brokers and other benefits services representatives to resolve employee issues or system problems.

  • Ensure vendors provide high quality and technically innovative processes, excellent customer service and adhere to contractual obligations. Participate in vendor selection and implementation.

    • Design and monitor performance guarantees.

  • Lead implementation of new benefit programs, projects and annual enrollment. Execute change management strategies to ensure all impacted parties (i.e. Human Resources, Finance, Payroll,  employees) fully understand the change and their needs are addressed.

  • Develop communications and trainings that promote an appreciation and understanding of the health and welfare benefit programs through the employment life cycle (new hire, annual enrollment, life changes, retirement).

    • Communicate all plan information to participants through a variety of mediums

  • Manage all leave of absence processes from the commencement of leave to return from leave or separation of employment.

    • Included but not limited to medical leave, maternity leave, FMLA, Workers’ Compensation, Short-term disability, long-term disability, military leave, and other leaves that are required by law or Company policy.

  • Maintain the company’s Flex Spending and Health Savings plans.

  • Assist employees with benefit program questions.

  • Tracks benefits eligibility for new hires, newly eligible employees and employees who are losing eligibility.

  • Administer in-house COBRA program.

  • Manage employee enrollment in all company-offered benefit programs.

  • Identifies gaps in processes and opportunities for more effectiveness and efficiency in the department.

  • Conduct monthly reconciliation of benefits billings against payroll deductions, ensuring proper premium deductions and enrollment types are communicated to Payroll team.

    • Assures timely payment of insurance billings and reconciles monthly.

  • Manage ACA tracking and reporting.

  • Submit quarterly wage updates to life insurance benefit company.


  1. Legally administer and effectively communicate health benefit plans and leave  programs to employees.

  2. Accurately track and report benefit data to all necessary parties, including vendor billing, ACA reporting and other relevant statistics.

  3. Creates a comfortable, confidential environment for employees.

  4. Maintains clear, open communication with the Finance and Payroll teams.


  • Bachelor's degree (or equivalent experience) plus 5 years of benefits administration experience

  • Experience with laws, regulations and government policy related to health and welfare benefits, federal and state leave programs.

  • Program management experience

  • Proficiency in Microsoft Office Suite preferred

  • Prior supervisor experience preferred
