This is an exciting and fast-paced position to report and work directly with the managing partner of the firm.  From day-to-day executive assistant functions (scheduling, calls, administrative tasks) to operational matters relating to HR, payroll and recruiting.  We are seeking a high performing individual who has experience working with a partner-level attorney or executive.

  • Provide administrative coverage (calls, schedule, travel arrangements) to managing partner
  • Maintain accurate and up-to-date human resource files, records, and documentation
  • Answer frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc. and refer more complex questions to appropriate senior-level HR staff or management
  • Maintain the integrity and confidentiality of human resource files and records
  • Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
  • Assist with payroll functions including processing, answering employee questions, fixing processing errors and distributing checks
  • Act as a liaison between the organization and external benefits providers and vendors, which may include health, insurance, and retirement plan providers
  • Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, etc.
  • Arrange and submit attorney CLEs and compliance

Requirements

Basic Qualifications:

  • Strong PC skills, including proficiency in Microsoft Word, Excel, Adobe, ProLaw, and Outlook
  • Proficient with, or the ability to quickly learn, payroll management and human resource information system (Paylocity)
  • Interact well with all levels of personnel with ability to communicate clearly
  • Must be willing to take ownership of projects and think proactively
  • Must have superior organizational skills with the ability to prioritize high-volume work in a fast-paced, dynamic environment
  • Self-starter with ability to multi-task, excellent work ethic and commitment to managing assignments with professionalism and integrity

Preferred Qualifications:

  • 2 years of experience as an assistant
  • Experience supporting a partner-level attorney a plus
  • College degree or equivalent level of experience
