Faith in the Future (FIF) seeks to provide access to all who desire an excellent Catholic education. By a management agreement with the Archdiocese of Philadelphia, Faith in the Future has operational responsibility for 17 high schools and 4 schools of special education, as well as operational oversight over the Office of Catholic Education.

Position Overview

Reporting to the Chief Executive Officer (CEO), the Executive Assistant/Office Manager provides comprehensive support to the CEO and Chair of the Board of Trustees and provides hands-on support to the Development team. Key elements of the role include: Administration; Board Liaison; and Development Support.

Position Responsibilities

  • Administration: Support the CEO in effectively managing the FIF team by: overseeing the onboarding process for new staff; managing schedules/calendars for the CEO and Board Chair; serving as liaison between FIF staff and the CEO and Board Chair; maintaining hard/electronic files and office supplies; and overseeing all incoming and outgoing mail.

  • Board Liaison: Support the CEO and Board Chair in engaging and managing the Board of Trustees and Committees of the Board by: scheduling and planning all logistics for Board/Committee meetings; drafting Board/Committee meeting agendas and compiling and disseminating packets; taking (as requested) and archiving meeting minutes; and acting as point-of-contact for Board/Committee members and liaison between the Development team and Board.

  • Development Support

    Fundraising: Partner with the Development team to ensure high-touch engagement with prospects and donors by: managing the prospect/donor pipeline and moves management process for the Development team, FIF leadership, and the Board; overseeing the moves management process by scheduling regular team meetings and updating Raiser’s Edge with cultivation and stewardship activity; providing reminders to the team based on defined, custom cultivation and stewardship plans to ensure deadlines and milestones are met; and regularly reporting activity and progress to the team.

Stewardship: Partner with the Development team to deliver a donor-centric approach to stewardship by: assisting with the planning of cultivation, stewardship, and awareness-building events; assisting the Chief Development Officer and FIF leadership with the implementation of defined stewardship plans and identified stewardship opportunities for donors.

 

 

 

 

Requirements

  • Bachelor’s degree

  • Must have 5-7 years’ experience providing administrative support to executive level leader(s)

  • Nonprofit administration or development experience preferred

  • Experience with nonprofit boards preferred

  • Event planning experience preferred

  • Proficiency in Microsoft Word, Excel and PowerPoint

  • Proficiency with constituent databases (Raiser’s Edge, DonorPerfect, etc.) preferred

  • Internet research and wealth screening database (Donor Search, iWave, etc.) skills preferred

  • Exceptional interpersonal skills and ability to work collaboratively with all levels of internal and external stakeholders

  • Excellent skills in the following: proofreading, organization, file management, writing, verbal and written communication, and teamwork

  • Self-starter capable of prioritizing multiple, ongoing, and competing responsibilities in a fast-paced environment

  • Ability to work independently, meet deadlines, manage multiple tasks, anticipate problems and be resourceful

  • A high degree of integrity, confidentiality, strong work ethic, and a willingness to quickly and continuously gain knowledge of the mission of Catholic Education
