HIRING SALARY:    $31,868 - $34,901 annually, all salary calculations to start at the minimum salary

HOURS:                   8:00 - 5:00 P.M., Monday - Friday; some nights and weekend required

MAJOR FUNCTION: The Executive Assistant III serves as the executive assistant to the Vice President for Workforce Development performing a variety of duties as assigned. Initiates and prepares correspondence, informational distributions, work orders, requisitions, travel requests and reimbursements and reconciles purchasing card. Reviews all documents and ensures accuracy in all paperwork for the Vice President’s signature. Assists the President’s office as needed. This position will perform administrative tasks and meeting support as assigned by the Vice President. This includes managing calendar, coordinating travel, preparing meeting documents, developing correspondence, copying/scanning, creating meeting agendas, scribing minutes, distributing information, managing division inventory and supply orders, and other similar tasks as assigned. Supervises front desk staff and customer support personnel. Coordinate bi-weekly Customer Service staff meetings and prepares agenda with appropriate topics for discussion. Develops a solid customer service strategy that can be implemented division-wide.  This position will prepare regular updates for the Vice President by running budget reports, reviewing websites for accuracy, and pulling survey results. Maintains the VP’s calendar and arranges appointments at own discretion; schedules the VP’s itinerary and makes travel arrangements.


MINIMUM TRAINING/EXPERIENCE: Associate’s degree and six (6) years of related experience in an executive office management setting; or an equivalent combination of education and experience.

SUCCESSFUL APPLICANTS WILL DEMONSTRATE THE FOLLOWING: Knowledge of college programs and procedures. Knowledge of various techniques for researching information from various areas. Knowledge of office procedures for an executive management setting. Knowledge of sentence structure and word usage. Knowledge of appropriate state policies and procedures. Public relations skills. Basic mathematics skills. Skill in reading comprehension. Skill in effective telephone communications. Skill in proofreading.  Ability to use independent judgment in coordinating and handling a wide variety of complex administrative and program issues and activities. Ability to use a personal computer and various software programs including word processing, spreadsheet, database, presentation and email in a networked environment. Ability to coordinate official meetings, executive functions, and matters of public nature. Ability to follow oral and written instructions. Ability to communicate effectively, verbally and in writing. Ability to maintain confidentiality and handle sensitive legal issues. Ability to handle multiple priorities and tasks which are complex and broad in nature. Ability to effectively manage time, coordinate meetings and schedule travel arrangements in a fast paced, executive environment. Ability to establish and maintain good relationships with a wide variety of people. Ability to adjust to organizational changes. Ability to evaluate and prepare statistics in various reporting formats. Ability to update technical skills as needed to perform functions of the office. Ability to transcribe recorded minutes from tapes. Ability to coordinate and work effectively with the President, Vice Presidents, Foundation and Communications Office. Ability to foresee potential problems before they occur and work toward a solution.
