We are looking for a Benefits & Wellness Specialist to join our HR Team in Glendale, CA! The Benefits and Wellness Specialist is a skilled administrative position primarily responsible for administering benefit programs with minimal supervision for active non-signatory employees and non-signatory COBRA participants of ACCO Engineered Systems and its subsidiaries.

The incumbent will also create, implement, and administer employee wellness programs and will be a key player in helping to administer ACCO’s employee engagement activities, including our charitable United Way giving campaigns, our annual employee service anniversary recognition parties, and creative employee recognition campaigns.

The Benefits and Wellness Specialist will be part of ACCO’s Human Resources Department and accountable for performing daily and administrative functions for ACCO’s non-signatory (office) benefit programs, including medical/dental/vision insurance, life and disability insurance, COBRA, health savings accounts (HSAs) and flexible savings accounts (FSAs), 401K, ESOP, as well as Leaves of Absence administration.

This position will monitor all aspects of benefits administration as well as provide analytical and technical support in the delivery of the benefits programs. This responsibility includes maintaining associated records, follow-up with employees, managers, and vendors; as well as compliance with local, state and federal regulations. 

The Benefits Administrators are responsible for creating and distributing communications, maintaining employee and benefit records and working with the Human Resources team and internal stakeholders to ensure compliance. 

Responsibilities and Duties - Other duties may be assigned. Reasonable accommodation for disabilities may be made for one or more of the following:

  • Responsible for the daily administration of all health and welfare benefit programs including but not limited to medical, dental, vision, flexible spending, life insurance, COBRA, and wellness, 401k and ESOP.
  • Oversee online plan enrollments and Qualifying Life Event changes for all non-signatory employees and beneficiaries for all benefits, including and not limited to health, dental, vision, life and disability insurance, and spending accounts.
  • Effectively communicates and delivers new hire benefit orientation and employee educational meetings, and acts as compassionate liaison for escalated participant issues.
  • Effectively manages the Leave of Absence process for the organization. This includes, but is not limited to tracking and correspondence to the employees requesting a leave.
  • Drafts and publishes employee e-mail communications regarding important benefits details and updates.
  • Compiles and maintains all non-signatory employee benefit records, forms, and documents.
  • Functions as liaison between ACCO’s benefits brokers, insurance carriers, and participants.
  • Together with ACCO’s benefits broker, coordinates open enrollment, benefit programs, and employee education meetings.
  • Coordinates with ACCO Payroll Administrators to ensure all benefits enrollments, terminations, and changes are reflected timely in the payroll system.
  • Performs data input of non-signatory employee data into benefits administration systems.
  • Serve as liaison with the third-party benefit administrators (Apprize/bSwift/ Fidelity/ Blueridge) to provide prompt assistance to employees and/or dependents in resolving benefit issues, account corrections or emergency response needs
  • Reconciles monthly benefit vendor invoices with changes, prior to forwarding to Accounting for payments; works directly with vendors on billing adjustments, as needed.
  • Assists in the design, implementation and administration of ACCO wellness initiatives, programs, and communications, including serving as ACCO’s workplace campaign ambassador for the United Way.
  • Assists in the design, implementation, and administration of ACCO’s employee engagement and recognition activities, including managing the annual employee service recognition luncheon.
  • Assists with various benefits related projects, such as annual 1095-C administration, flu shot clinic scheduling, biometric screening scheduling, and blood drive scheduling, and other wellness initiatives
  • Administers the data entry and reporting for annual Equal Employment Opportunity (EEO) reports.
  • Work closely with the HR/Benefits team and contribute on projects, highlighting issues, and making recommendations to address issues and priorities as needed.
  • Identify and participate in continuous improvement initiatives.

Requirements

Required Qualifications and Skills

  • Bachelor’s degree in human resources management, business administration, and health education or a related degree field, (e.g. community health, health and human services) or equivalent work experience.
  • A minimum of 3 years of experience in Human Resources function with Benefits administration responsibilities.
  • A minimum of 2 years of experience with creating, implementing and administering effective company wellness initiatives.
  • Excellent verbal and written communication skills and ability to effectively explain complicated topics to all levels of employees.
  • Excellent customer service skills, with a demonstrated ability to show compassion for employee situations yet still maintain policy and practice standards of excellence.
  • Demonstrated creative design and brainstorm of wellness and recognition programs, and a passion for improving the well-being of employees.
  • Strong analytic skills in order to create and maintain metrics, reports and planning schedules
  • Able to effectively communicate with compassion and high level of emotional intelligence with varying levels of staff.
  • Fundamental to Advanced knowledge of Health & Welfare benefit principles
  • Solid knowledge of the DOL, Federal and State employment laws, FMLA, CFRA, PFL, ACA required
  • Working knowledge of best practices related to: Compliance and reporting requirement; Plan administration; Wellness Programs and Employee Benefits Plans; Leave Administration
  • Demonstrated understanding of laws and regulations including IRS, COBRA, FMLA, ERISA and HIPAA
  • Demonstrated ability to organize projects and maintain schedules
  • Strong competency working with HRIS data systems and utilization of third-party websites; Microsoft Office Suite, including intermediate to advanced Word and Excel (i.e., spreadsheets, formulas, importing and exporting of files, as applicable) as required
  • Valid drivers’ license with satisfactory driving record in accordance with ACCO policy. 

  Desired/Preferred Qualifications and Skills

  •  Proficiency in bSwift benefits systems and/or work with Apprize is desired.
  •  Certified Employee Benefits Specialist (CEBS) desired, but not required.
