Position Summary:

The Benefits Specialist is a key member of the Human Resources team and is responsible for daily administration of the College’s benefits programs for faculty, staff and union employees. This includes retirement  plans(defined benefit plan, defined contribution plan, tax sheltered annuity plan) and health and welfare benefits including medical, dental, vision and life insurance. Serve as the primary contact for employees providing them with accurate information regarding benefits eligibility and plan provisions.

 Primary Position Responsibilities:

 Responsible for the administration of all aspects of the benefits programs (retirement and health and welfare) in compliance with Plan Documents and all state and federal regulations for all employees (faculty, staff and union). Work with the benefit vendors to expedite and resolve any enrollment discrepancies.

Responsible for accurate maintenance and approval of benefit elections on a daily basis in Workday including maintenance of documentation to reflect benefit election changes. Conduct monthly audits of all of our benefit plans to ensure accurate enrollment in Workday and with each vendor.

Process timely and accurate monthly premium payments for the Health and Welfare benefits program through Workday.

Work with our 403(b) Plan vendor to monitor and approve transactions as needed.   Review and monitor hourly earned reports to determine 403(b)plan eligibility for non-benefit eligible employees, distribute enrollment kits and schedule orientations.

Responsible for maintaining annual data for the frozen Defined Benefit Plan valuation. Generate and audit reporting to collect earnings data to send to actuaries for processing pension calculation requests by eligible employees including vested term calculations. Responsible for accurate submission of data to State Street Bank for pension plan elections.

Support outside auditors with annual audit of the Valuation Data to ensure compliance and proper administration of the plan.

Assist the Director with annual compliance requirements including outside professional audits of the defined benefit and defined contribution plans.

Participate on the implementation team when new benefits are introduced. This entails working with the team to implement the plan in Workday, create and distribute communications and employee education.

Assist in coordinating the annual Benefits Fair and the Open Enrollment process in Workday. Assist in organizing various benefit program presentations throughout the year to meet employee needs.   Assist in monitoring and updating benefit related issues on the HR Website for accuracy, making changes as needed.

Coordinate and conduct benefit orientations for faculty, staff and union employees.   Oversee the maintenance and tracking of benefits materials as needed. Respond to routine questions on a daily basis regarding benefits and/or benefits eligibility for current and former employees. Interpret plan and policy provisions to employees and prospective employees as needed.

Prepare Summary of Benefits for terminating employees and Retiree’s. Responsible for ensuring COBRA and Direct Bill notifications for qualifying events are sent to vendor for processing.

Provide back-up support to the Front Office Human Resources Team when required.




Bachelor’s degree or equivalent experience.

Two to four years related benefits administration experience.

Excellent organizational, written and verbal communication skills.

Experience with Microsoft Office including Word and Excel. Experience working with large database system. Knowledge of Employee Databases experience with Workday preferred.

Excellent attention to detail.

Ability to work with and maintain confidential information.

Ability to work independently and as part of a team
