The Benefits Coordinator under the direction of the Director of Benefits will be responsible for assisting with administration of all employee benefits; updating HRIS systems; providing support on special projects, and reporting.    

RESPONSIBILITIES/ESSENTIAL FUNCTIONS:    

The Firm requires that the duties and responsibilities of this position be performed onsite during scheduled work hours.    

• Provides expert and accurate advice to employees on issues relating to employee benefits   

• Administers various employee benefit programs, to include, but not limited to, group insurance, life, medical, dental, accident and disability, pensions, investments, and savings   

• Enrolls new employees in benefit plans and assists employees in calculating cost of optional coverage    

• Processes status changes in a timely and accurate manner; performs data entry of benefits and retirement information; assembles various benefits packages; conducts the clearance process for employees separating their employment and assists employees with issues on claims   

• Conducts benefit orientation presenting an overview of new and existing plan information during new employee orientations and annual enrollment   

• Assists in the day to day administration of defined contribution and defined benefit plan   

• Understands retirement plan regulations, including ERISA   

• Works with the Director of Benefits and the Firm’s actuary on administration of a traditional defined benefits plan   

• Creates and revises existing benefits forms, letters, and policies   

• Coordinates, creates or leads benefit related seminars such as retirement, and health fairs.   

• Works with the Wellness Committee to design Wellness Programs and may serve as the lead person in coordinating and executing events   

• Assists Director of Benefits with all benefit related projects including open enrollment, plan changes, implementation of policies and procedures, etc   

• Responds to routine health and retirement plan inquiries from employees   

• Prepares, organizes and maintains the storage of benefits files both hard copy files and electronic documents   

• Works with retirement administrator and outside vendors to ensure audit compliance with 401k plan and annual 5500 filings. Conducts related analysis to support audit requirements.   

• Maintains the Benefits Intranet page (page design, permission, creating new pages, adding and removing content, links and contacts, etc.)   

• Enters new employee data and process enrollments, changes, and terminations in HRIS and with respective benefit vendors   

• Liaison with Payroll and other HR team members to ensure benefit data related to pay is accurate   

• Prepares and processes invoices and payments to benefit vendors and carriers    

• Administer the Firm’s backup childcare, parking, and other qualified transportation benefits   

• Assist with annual benefits fair, and other benefit information sessions, including interfacing with vendors and planning sessions/events    

• Troubleshoot claims issues with insurance vendors   

• Process COBRA letters and reconcile payments   

• Generate various reports using HRIS    

• Leads benefit-related projects as needed

• Position operates in a professional office environment which is usually quiet to moderate   

• Position requires that the employee have the ability to multi-task in a fast-paced work environment

• Ability to communicate professionally and effectively, both in oral and written form   

• Ability to multi-task, prioritize/coordinate deadlines and track progress of tasks   

• Ability to organize work flow and use time efficiently   

• Ability to demonstrate attention to detail and accuracy   

• Ability to work independently as well as in a team environment   

• Ability to adapt to change and balance competing demands   

• Must maintain confidentiality of work-related information and material   

• Flexibility to work overtime on an as-needed basis   

• Possess an understanding of the retirement and health and welfare plan provisions   

•Ability to effectively communicate sensitive information at all levels of the firm with discretion and confidence   

• Highly proficient in MS Excel, Word, Power Point   

  

EDUCATION AND EXPERIENCE:    

• Bachelor’s degree or equivalent experience   

• 2-5 years progressive experience in benefits administration
