the Benefits Coordinator provides a wide variety of support for the Institute’s health and welfare benefit programs.  The Benefits Coordinator is the primary liaison between the workforce and Human Resources Department providing customer support, education, and benefit plan administration. This position also holds a primary role on the Wellness Committee coordinating and implementing health literacy programs, employee challenges, and benefits fairs. While responsible for a wide variety of responsibilities, this position leads efforts in the area of retirement plan administration and education.



  1. Responds to employee inquires pertaining to the Institutes health and welfare plans including but not limited to: life event changes, plan coverage questions, claims resolution, open enrollment and deductions from payroll. Administers perk programs such as Live Near Your Work, Computer Purchase Program and Employee Discount programs.

  2. Responds to employee inquiries related to the 401K plan. Monitors monthly loan default reports, ensures participant enrollments and add/drops are accurate, assists with annual compliance reporting, discrimination testing and audits. Develops educational workshops and employee offerings to increase employee savings in the 401K plan.

  3. Responds to employee inquiries related to the frozen defined benefit pension plan. Creates pension estimates and coordinates pension distributions between the Institute, actuaries, banks and term vested participants. Creates annual reports, supports annual audits and ensures accurate record keeping.


  1. Runs a series of “HR Week” pre-payroll reports used for data analysis and reconciliation. Makes appropriate adjustments to employee records in the HRIS system to ensure accurate deductions are taken from bi-weekly payroll runs.


  1. Collaborates with HRIS team and payroll team by examining reports validating benefit changes, benefit deductions, and 401K loan deductions prior to the payroll processing being finalized.


  1. Collaborates with Generalist team by examining Short Term Disability reports validating disability benefits prior to the payroll processing being finalized.


  1. Processes invoices to Third Party Administrators for self-funded plans. Runs reports and generates direct-bill invoices to vendors for supplemental life, critical illness, accident insurance and other voluntary benefit policies.


  1. Advises employees on Workers Compensation claim reporting procedures, medical bills, light duty restrictions and re-entry into the workplace. Receive, organize, track and file work injury reports and all related documentation; includes entering FROIs, and being the primary liaison with plan administrator. Creates and distribute bi-weekly Worker’s Compensation Lost Time report.


  1. Administers the tuition assistance benefits, including Tuition Advancement, Reimbursement, Remission, and Grant programs, for all participating employees and their families. Serves as liaison between employee and third party vendor resolving issues with the portal, eligibility, applications, reimbursements, advances and payments to universities. Processes invoices for timely payment to third party vendor. Audits weekly files sent from third party vendor to ensure that imputed income for employees is being reported correctly


  1. Assist with and coordinate the Institute’s Unemployment Insurance claim process to include responding to requests for information, acting as liaison with the Institute’s third-party claim administrator, and coordinating scheduling, support and necessary documentation for all hearings.


  1. Is a member of the Wellness Committee and actively contributes to the design, implementation, and promotion of wellness programs.


  1. Coordinates the planning and implementation of the Open Enrollment season. Reviews and edits benefits guides according to plan/vendor changes, develops employee communications, tests the enrollment system, works with vendors to finalize Summary of Benefit and Coverage documents, and ensures enrollment packages are completed and distributed to vendors according to schedule.


  1. Performs post open enrollment reconciliation to include but not limited to dependent verification, supplemental life policy claw back and evidence of insurability updates, manually end dating plans when needed, and other related reconciliation requirements.


  1. Presents the benefit and retirement portion of New Employee Orientation.





High School diploma or equivalent required. Some college-level coursework preferred.



One year of benefits and/or retirement plan administration experience required.
