SUMMARY
Working under the supervision of the Manager of Compensation and Benefits, the Benefits Assistant is responsible for helping to administer The People Concern’s group benefit plans and associated tasks.  This position fosters effective relationships with employees across every level of the agency in order to ensure all staff understand the agency’s benefits plans and programs, resolve benefits-related problems, and ensure effective utilization of benefits tools.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Provide day-to-day administration of health and welfare benefit plans (such as the 403(b) Retirement Plan, medical/dental/vision, life, long-term disability, COBRA, FSA, HSA, etc.) including enrollments and terminations in accordance with federal and state regulations and plan provisions, including, but not limited to:
    1. Process required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions
    2. Review, audit and process related invoices; resolve discrepancies to ensure accuracy and timely payment
    3. Act as liaison with carriers, third party administrators, and broker 
    4. Inform employees and applicants about plan provisions so they can make informed benefit decisions
    5. Prepare for and coordinate annual open enrollment and new hire processes and ensure new enrollments and benefit changes are completed within deadlines
    6. Ensure payroll deductions for all benefits plans are followed and administered correctly
    7. Coordinate extension of benefits for departing employees 
    8. Consult with Manager when needed to respond to inquiries and for complaint resolution regarding benefits
    9. Create and maintain employee benefit files in electronic personnel file system and other systems as appropriate
    10. Assist with preparation of communication materials, strategies and plans to enhance employees’ understanding of benefits offerings
  2. Assist Manager with compensation-related activities
  3. Coordinate and conduct new employee orientation on an as-needed rotating basis along with other Human Resources team members

Requirements

QUALIFICATIONS

  1. High School diploma or GED and minimum four years’ relevant work experience required; Bachelor’s degree preferred
  2. Minimum one year’s experience with online benefits administration systems/HRIS required
  3. Knowledge and understanding of benefit plans, insurance regulations, third party administrators, COBRA, and related state and federal laws and regulations
  4. Strong customer service orientation required.  Must possess a courteous and professional demeanor and exhibit good judgment when assisting/interacting with others
  5. Must be able to maintain confidentiality and appropriately handle sensitive information
  6. Strong attention to detail required to produce thorough, accurate and high-quality work 
  7. Able to manage multiple tasks and responsibilities, and meet deadlines
  8. Excellent written and verbal communication skills
  9. Proficient in MS Office (Word, Outlook, Excel)
  10. Bilingual Spanish is a plus
