The Benefits and Compensation Specialist contributes to the success of the Chicago Zoological Society by effectively handling various aspects of the Society’s benefits and compensation programs, leaves of absence, and employee wellness activities.

 

Primary duties and responsibilities:

  • Conducts new hire benefits orientation and enrollment for eligible staff. Prepares for and conducts annual benefits enrollment process with the Director of Compensation and Benefits (“Director”). Generates and processes COBRA paperwork for eligible beneficiaries. Responsible for monthly premium payments, including reconciling invoices, calculating premiums, submitting check requests, obtaining approvals, and submission of payments. Processes COBRA remittances, updates budget, and assists Director with annual renewals, contracts, and RFPs.
  • Responsible for leave of absence management. Assures compliance with pertinent regulations and Society policies. Serves as the main contact with leave of absence vendor, employees and managers.       Assists staff with Time & Attendance tracking related to leaves. Works with Director on non-standard leaves, special circumstances, ADA accommodations requested, and non-FMLA leaves that are not approved.       Coordinates with Safety Department on workers’ compensation leaves. Works with employees who file short and long-term disability claims, including Life Insurance Waivers of Premium, if applicable.
  • Manages Employee Assistance Program (“EAP”), promotions, and activities, including but not limited to Health Fairs, employee communications, and education. Uses EAP as a resource for various wellness topics and staff training.       Investigates trends and alternatives and makes recommendations to enhance wellness program offerings and enhance the program with a focus on promoting healthy lifestyles, prevention, and cost containment. Develops and implements annual wellness calendar and the monthly Wellness Corner Newsletter.
  • Provides support to the Director in administering certain day-to-day aspects of the Group Life and Health Plan, Retirement Savings Plan, and Compensation program. Responds to employee and manager inquiries. Creates and updates job descriptions and physical requirements forms, completes salary/benefit surveys, conducts market compensation evaluations, and performs other benefits or compensation-related tasks as directed.
  • Provides support to the Director in conducting self-audits. With Director, assures compliance with IRS, IRC, DOL, FMLA, FLSA, ADA, ACA, COBRA, HIPAA, and other regulations pertinent to benefits, leaves, and compensation. Assists in the required training of staff on compliance as requested.
  • Under general supervision, assists with projects related to the development and implementation of strategy, communications, and process improvement for employee benefits, compensation, wellness, leaves, and other HR initiatives.
  • Works with retailers, Chambers of Commerce, etc., to secure and promote discounts to be offered to CZS staff. Responsible for keeping the employee discounts page on the employee Intranet current.
  • Performs other related duties as assigned or requested to assure successful achievement of the Society’s objectives.

Requirements

The requirements for this position include the following:

  • High School or equivalent (GED) required. Associate’s Degree in Business, Human Resources, or other directly relevant field or the equivalent of four years directly relevant experience required.
  • Three years of experience administering welfare and/or retirement benefits.
  • One year experience administering leaves of absence.
  • One year relevant compensation experience performing position evaluations/classifications, analysis, creating/updating job descriptions and completing salary surveys.
  • Knowledge of relevant employment laws, including but not limited to ACA, FMLA, HIPAA, COBRA, and GINA.
  • Ability to work independently/with little direction.
  • Strong organizational and project management skills and a high level of attention to detail, completeness, and accuracy. Excellent follow-up/follow through skills are essential.
  • Good figure aptitude.
  • English fluency at a full professional proficiency required.
  • Strong communications, listening, and interpersonal skills.       Must be tactful and able to influence others. Ability to compose communications that are well written, grammatically correct and in standard business format. Good proofreading skills essential.
  • Strong focus on customer service and understanding of a business partner environment.
  • Strong decision-making and problem-solving ability.
  • Must be flexible and adaptable. Able to deal with emergent issues, multiple projects, and staff simultaneously.
  • Must be proactive, able to see the big picture, and anticipate and resolve issues.
  • Ability to maintain confidentiality of privileged information.
  • Intermediate computer proficiency with Microsoft Word, Excel, Outlook and benefits/HRIS software.
  • Must be able to work effectively under pressure and meet deadlines.
  • Cultural competency; experience and/or ability to work and interact effectively with a diverse, multicultural audience.
  • A valid driver’s license is required on date of hire. If you are an Illinois resident, you must possess a valid Illinois driver’s license at the time of hire or must obtain one within 90 days of hire. A valid out-of-state driver’s license is required at time of hire if the employee is an out-of-state resident.  

 

The preferred qualifications:

  • Bachelor’s degree in Business, Human Resources, or other directly relevant field or equivalent preferred.
  • Prior experience with leave management software or employee/benefits self-service software a plus.
  • HR compensation experience desirable, including experience with Total Compensation Statements.
  • Prior experience with Microsoft Project, PowerPoint and/or IBM SumTotal HRIS a plus.
  • Multilingual ability, Spanish fluency a plus.

 

Additional Information: This is a professional, salaried position that provides primary support to the Director of Compensation and Benefits.  Must be very service oriented, but also assertive and able to deal with strong personalities and situations in a tactful and polite manner.  Some local travel may be required to meet established work objectives.  Must represent the department and the Society in a professional manner at all times.  Some local travel may be required.  Occasional workweeks in excess of 40 hours.
