Summary/Objective

The benefits administrator position is responsible for directing and planning the day-to-day operations of group benefits programs (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, flexible spending plan, 401(k) plan).

Essential Functions

  1. Serve as primary contact for plan vendors and third-party administrators. Coordinate transfer of data to external contacts for services, premiums and plan administration. Evaluate and revise internal processes to reduce costs and increase efficiency. Document and maintain administrative procedures for assigned benefits processes. Ensure compliance with applicable government regulations including ACA compliance. Ensure timeliness and accuracy of required reporting and fees.
  2. Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, distributions, loans, hardships and compliance testing. Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records.
  3. Gather employee data and oversee the processing of monthly billings and the preparation for payment of administrative fees for all group plans. Allocate group health and dental claims monthly.
  4. Assist with 401K administration and monthly reconciliation.
  5. Assist with onboarding at the employment site when large numbers of employees are hired due to new business relationships.
  6. Verify monthly Worker’s Compensation bills and prepare documents for audits as required.
  7. Provide customer service support to internal and external customers. Develop communication tools to enhance understanding of the company's benefits package. Design and distribute materials for benefits orientations, open enrollment and summary plan descriptions.Design and audit HRIS benefit portals.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, some filing is required; it would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.  

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work Monday through Friday, 8:30 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.

Travel

Occasional travel may be required.

Required Education and Experience

  1. Bachelor's degree and three to five years of related benefits or employee benefits administration experience.  PHR or SPHR desired.

Preferred Education and Experience

Benefits administration experience required.

Additional Eligibility Qualifications

  1. Computer proficiency and technical aptitude with the ability to use Microsoft products, experience with HRIS and benefits databases.
  2. Project and team management/leadership skills and experience. Proven ability to work effectively in a team environment with associates. Capability of effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
  3. Strong analytical skills and a thorough knowledge of plan designs.
  4. Knowledge of all pertinent federal and state regulations affecting employee benefits programs, including ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, COBRA,
  5. Excellent communication and organization skills.
