We have an opportunity for the Administrative Assistant to the Associate Vice President of Human Resources and Facilities Management!  In this role you will provide support, organization and workflow optimization for the AVP and assist the HR department.  This is an excellent opportunity for someone who is entering the HR or operational fields.  This role requires a high level of organization and intrinsic motivation.  The successful candidate will be one who will take initiative and work independently. 

The schedule for this role is an estimated 32 to 35 hours per week. 


  • Assist AVP with administrative tasks: manage calendar, provide hospitality to guests, manage correspondence
  • Provide meeting support including note taking, hospitality, and preparing agendas/ materials
  • Administrative duties including organizing and filing confidential documents, faxing, copying and shredding for the AVP
  • Conduct research into various HR and Facilities areas in order to support departmental initiatives
  • Act as the first point of contact for HR related inquiries for BAM employees and provide back up support to the HR coordinator
  • Collect and analyze data from the HRIS and other databases
  • Assist with departmental project management tracking
  • Maintain and order office supplies
  • Process unemployment claims
  • Sort and distribute departmental mail, faxes, etc.
  • Prepare and organize departmental PVs, and credit card expenditures
  • In conjunction with other department members, maintain HR office’s efficiency and organization
  • Ad-hoc projects


Minimum Qualifications

  • Extensive knowledge of Microsoft Excel and business intelligence reporting tools.
  • Bachelor’s Degree or equivalent work experience
  • At least one year of professional work experience in an office environment
  • High level of confidentiality and discretion
  • Excellent computer skills in Outlook, Word and PowerPoint
  • Excellent written communication skills, including note-taking
  • Some proficiency with mathematical formulas and budgets
  • Comfortable with new technology
  • Ability to work independently
  • Highly organized and detail oriented
  • Intrinsically motivated
