Job Summary

This position will lead responsibilities within the payroll and benefits functions under the general oversight of the Senior Manager, HR. Responsible for ensuring execution of benefits administration, payroll administration, and compliance within those areas. They will act as the liaison between the Finance Department and Human Resources Department.


Essential Duties & Responsibilities:

·         Acts as liaison between the Company and payroll/benefits vendor(s), auditing the outputs from their system(s) to ensure accuracy and working with vendor/HR staff to resolve issues.

·         Acts as subject matter expert in payroll and benefits with ability to recommend process improvements, plan design changes, new or modified benefit offerings and compliance enhancements based on past experience and research.

·         Ensures the accurate and timely processing of semi-monthly payroll, manual checks, stock options, and other quarterly bonus payrolls.  Reviews all payrolls for accuracy before presenting for final review and approval by Finance.

·         Oversees the completion of Federal, State, and Local Tax filings and audits the accuracy of filings. 

·         Oversees the taxation of stock option exercises within our stock equity platform. Ensures the tax rates are evaluated and updated as changes occur.

·         Oversees the year-end payroll process and ensures W-2, ACA, and other compliance reporting is accurate.

·         Works closely with and acts as liaison to Finance/Accounting, ensuring all necessary information is complete and accurate for month end, quarter end and year end requests including general ledger data, accruals, employee stock purchase plan and stock option exercises.  

·         Oversees all activities related to benefits including but not limited to, open enrollment, leave administration, invoice reconciliation, benchmarking activities, carrier connections and feeds, company events, and benefit system administration.

·         Acts as liaison for benefits carriers, resolving issues escalated by Benefits staff.

·         Primary Liaison between auditors for all payroll and benefit related SOX process controls. Oversees the data collection and submittal for internal and external audits including but not limited to: SOX- 404, Health and Welfare, Payroll, 401K, etc.

·         Ensures all annual compliance requirements for payroll and benefits are executed.

·         Serves as the second point of contact for all employee payroll and benefit questions. Resolves escalated payroll and benefit concerns/employee questions in a professional manner.

·         Coordinates and supports the implementation of payroll and benefits related initiatives and projects.

·         Assists HR leadership with other projects as assigned.

·         Other duties as assigned.

Non-Essential Duties & Responsibilities:

·         Assists in Human Resources projects outside of payroll based on department need.

Supervisory Responsibilities:

·         Provides direction to payroll and benefits staff according to established policies and management guidance. Identifies training needs and conducts quality reviews to ensure compliance. Supervises work to achieve department goals. 

·         Maintains payroll and benefit guidelines by updating policies and procedures as approved by Management.

Knowledge and Other Qualifications:

·         Bachelor’s Degree or equivalent experience.

·         7+ years of combined experience in payroll and benefits desired. 2+ years of supervisory/management experience required.

·         Experience within a publically traded company required. Understanding of SOX compliance required.

·         Strong experience administering a HRIS and/or benefits administration system; experience in ADP Workforce Now strongly desired.

·         Proficiency in Microsoft Office; Intermediate or above a must.

·         Thorough understanding and demonstrated experience with payroll tax regulations at the federal, state and local levels.

·         Thorough understanding and demonstrated experience with legal regulations in all areas of benefits including but not limited to Health and Wellness (ACA), 401K, Leave Administration, etc.

·         Strong analytical and problem solving skills to review and interpret data.

·         High degree of professionalism to interact with employees at all levels.

·         Ability to deal with sensitive and confidential information.

·         Strong communication skills both written and oral.

·         Ability to adapt to change in a fast paced environment.

·         Willingness to keep abreast of current payroll and benefits compliance and legal updates to ensure the department is revising policies and practices to stay current.
